SUMMARY OF THE ROLE

Reporting to the General Manager, you are an experienced Office Administrator who thrives on supporting all Royop's stakeholders primarily for Royop's commercial properties in Edmonton, Alberta. As Royop's main point of contact, you are a proactive and personable professional who takes pride in being an information and process resource to the team and to visitors.

WHAT YOU'LL DO

Front Reception:

  • Proactively cover and manage all front reception and office administration day-to-day tasks.
  • Greet and assist all external and internal stakeholders in a calm, professional, and welcoming manner.
  • Professionally answer the Royop main reception line, answer incoming inquiries, and forward incoming calls to appropriate recipients.
  • Manage Royop's voicemail system including forwarding voicemails, returning phone calls, and changing voicemail greetings during business closures and holidays.
  • Receive, date stamp and prioritize incoming mail as well as arrange for outgoing mail & courier deliveries.

Office Administration:

  • Perform Yardi administration activities such as, entering and processing department expenses, scanning and attaching payables, collecting and inputting sales figures, and collecting and verifying tenant insurance.
  • Accounts Receivable: support the record keeping and deposits of incoming payments.
  • Prepare team travel arrangements, organize and schedule meetings, and maintain calendars of schedules.
  • Prepare presentations, detailed reports, documents, and communications/correspondence as required.
  • Maintain central filing systems and Royop's electronic files for Sherwood Park.
  • Follow-up on document submittals, as required.
  • Assist with Specialty Leasing documentation as required.
  • Create and process necessary storage lease documentation for tenant and landlord execution (property only).
  • Collect department hours from various supervisors for Payroll reporting (property only).
  • Assist in the coordination and planning of shopping centre events.
  • Manage and monitor the inventory of office supplies and replenish orders as required.
  • Champion Royop's organizational culture, employee policies, and actively participate in Royop's Health and Safety Program.
  • Other duties as assigned

WHAT YOU'LL HAVE

Qualifications & Technical Skills

  • 3+ years of administrative experience in a medium-sized organization.
  • A degree, diploma, or certificate in business administration, or a related field.
  • Intermediate to advanced proficiency in Microsoft Office suite including Outlook, Word, Excel, and Adobe Acrobat Pro.
  • Working knowledge of ERP software (preferably Yardi).
  • Strong communication (verbal and written), analytical, and organizational skills.
  • An eagerness to champion and promote Royop's organizational culture and values.

  • A professional approach (attitude, appearance, and demeanor), solid motivation, flexibility, and a strong desire to be an enthusiastic team player.
  • The ability to communicate effectively and professionally, develop and sustain cooperative working relationships, and negotiate through stellar conflict resolution.
  • Rolling up your sleeves and digging in heck they are already rolled up! Having lots to do is fun, especially when you are supported by a good team and empowered in your role.
  • You can pivot with the best of them; shifting priorities and rolling with change is no big deal for you.
  • Passion and heart: you like to jump in with both feet.
  • Good bow tying skills: you like to wrap things up and put a ribbon on your projects.
  • Jump in to help with Guest Services tasks and the gift card program during busy times, making sure every guest leaves with a smile and a great experience!

JOB LOCATION AND CONDITIONS:

  • Monday to Friday from 8:30 a.m. to 4:30 p.m.
  • Ability to work longer hours and/or weekends during special events and seasonal peaks (holiday hours).
  • Flexible hours are available depending on workload and deliverables.
  • Some out of town or offsite travel may be required from time to time.
  • This job requires the individual hired to maintain the ability to work from a remote location during pandemic related situations by having access to a proper working computer and a secure and strong internet connection. Royop will provide the means to log onto our work systems.
