Position Summary

Professional, responsible, and reliable Administrative Assistant providing high-level executive administrative support to the Vice President - Construction, while also supporting Project Managers through administrative coordination of Commercial and Industrial construction projects.

Key Responsibilities

  • Receive, screen, and respond to telephone and electronic inquiries; relay messages as required.
  • Schedule, coordinate, and confirm appointments and meetings on behalf of the Vice President - Construction, and Project Managers; prepare agendas and record minutes when required.
  • Compose, edit, and proofread internal and external correspondence, memoranda, contracts, proposals, agreements, presentations, and reports.
  • Coordinate document reviews and approvals by the Vice President - Construction.
  • Set up, maintain, and manage manual and computerized filing and information management systems.
  • Order office supplies and maintain inventory for Construction, Maintenance, and Leasing departments.
  • Provide administrative support to Project Managers throughout all phases of construction projects.
  • Assist with tender administration by preparing tender documentation, schedules, drawings, and specifications, and coordinating distribution to subcontractors when required.
  • Prepare and issue purchase orders, site instructions, change orders, invoices, and related documentation, when required.
  • Sort, process, and verify project-related applications, receipts, expenditures, and forms.
  • Perform additional duties and responsibilities as assigned.

Education and Experience

  • High school diploma required
  • College diploma or business administration courses considered an asset
  • Knowledge of general administrative and clerical procedures
  • Proficiency with Microsoft Office and Internet-based applications
  • Knowledge of customer service principles and practices

Health and Safety

  • Work in compliance with the provisions of the OHSA, Regulations, CD's Health and Safety Management System Manual, and internal policies and procedures
  • Attend all required health and safety training programs (e.g. WHMIS, orientation, tailgate talks), and apply knowledge to daily operating procedures
  • Know, understand and implement safe work practices, procedures, and established rules project activities and for handling materials, equipment and processes
  • Act to correct and report any contravention of the OHSA, regulations, or company H&S policies and procedures or any observed hazard to their Supervisor and EHS department
  • Refrain from operating any equipment, machine, device or thing, or otherwise working in a manner that may endanger anyone
  • Use all safety devices provided, ensuring optimum condition of devices and report any defects immediately to a supervisor and EHS department
  • Report any missing or defective equipment or protective device which could endanger any person to their Supervisor and EHS department
  • Report all injuries, incidents, hazards and unusual conditions immediately to their Supervisor and EHS department
  • Complete supporting documentation appropriate for circumstances listed above.

Working Conditions

  • Monday to Friday, 9:00 a.m. - 5:00 p.m.; additional hours may be required
  • Light to infrequently moderate physical effort, including handling office supplies and equipment
  • Frequent prolonged sitting while using a computer and telephone

  • For this position the Salary range: Minimum $45,000 Maximum $60,000 (6-Month Contract)
