The Municipal Group of Companies, based in Bedford Nova Scotia, is a large, diversified organization engaged in all major aspects of the heavy civil construction, mining and environmental services within the Atlantic Provinces. We are currently seeking an Administrative & Operations Support to join our team based out of our Halifax, NS office. This is a Full-time position, 40 hours per week, Monday-Friday (8:00 a.m.-4:30 p.m.)

The Administrative & Operations Support Administrator provides essential operational, administrative, and data management support to ensure efficient daily, weekly, and monthly activities across the facility. This role supports the Scale House, environmental monitoring programs, document control, finance-related tracking, customer communication, and general office operations. The Administrator ensures accurate data entry, maintains regulatory documentation, assists with scheduling and travel logistics, and provides frontline customer service via phone and in-person interactions.

Primary Duties And Responsibilities

  • Answer and direct phone calls and provide scale house coverage as needed.
  • Review scale tickets and enter/validate tonnage data for waste, recycling, and transfer stations.
  • Maintain daily operational data including landfill gas, environmental monitoring, and special load records.
  • Process audits, WDRs, and maintain accurate documentation and filing systems.
  • Create purchase orders, process received goods, and verify costs in the accounting system.
  • Track metal loads, diesel invoices, and other operational reporting data.
  • Maintain equipment and registration records and verify weekly equipment usage hours.
  • Support office operations including supplies, communications, travel bookings, and courier coordination.
  • Assist with billing support, invoice verification, and processing Moneris payments.
  • Maintain Health & Safety records and coordinate equipment calibrations.
  • Provide basic troubleshooting for office equipment and ensure daily office organization and security.

Required Knowledge, Skills, Abilities, Education, And Experience

  • Strong administrative, organizational, and data entry skills.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Ability to maintain accurate records and support operational reporting.
  • Experience supporting accounting functions including purchasing, accounts payable, and receivable.
  • Ability to troubleshoot basic technical issues.
  • Strong communication, customer service, and confidentiality skills.
  • Experience with accounting software, GPS systems, or safety/environmental documentation is an asset.
  • Experience in waste, recycling, or industrial operations is preferred.
