Position Title: Shelter Administrative & Facilities Coordinator

Location: Brandon, Manitoba

The ideal candidate for this role is highly organized, proactive, and able to manage multiple priorities in a dynamic environment.

Purpose: The purpose of the Shelter Administrative & Facilities Coordinator is to ensure smooth day-to-day functioning of the organizations' site. This role will involve scheduling staff, overseeing building maintenance and repairs, health and safety compliance, managing donations and storage units, and supervising kitchen and housekeeping staff.

Duties & Responsibilities :

  • Create and maintain staff schedules and assist with verifying timesheet entries.
  • Oversee building repairs and maintenance. Liaise with contractors and service providers for timely resolution of issues.
  • Ensure the workplace meets all health and safety regulations. Conduct regular safety checks and maintain compliance documentation. Train staff on safety protocols and emergency procedures.
  • Manage incoming donations and ensure proper allocation. Organize and maintain storage units for efficiency and accessibility.
  • Directly supervise the cook and housekeeper, ensuring quality standards are met. Provide guidance and support to staff as needed.
  • Maintain records related to scheduling, repairs, inventory, and grant expenditures. Assist with operational planning, information management, and reporting.

  • Basic knowledge of building maintenance and vendor coordination.
  • Strong computer skills, utilizing MS Office and SharePoint platforms.
  • Excellent communication and problem-solving skills.
  • Demonstrated experience in planning and preparing healthy, balanced meals for large groups, including children and individuals with food allergies, medical dietary needs, and cultural or religious dietary restrictions.
  • Ability to work independently with minimal supervision, using sound judgement - especially during high-pressure or crisis situations.
  • Capable of maintaining a calm and composed demeanor in crisis situations.
  • Approaches all situations with non-judgement, compassion, and an understanding of individuals' diverse backgrounds and experiences.
  • A mature, reliable, and dependable individuals who can be counted on to fulfill responsibilities consistently and effectively.
  • Must possess a valid Class 5 driver's license and have reliable access to a personal vehicle.
Qualifications & Experience

The ideal candidate will possess:

  • Proven experience in supporting a team providing housekeeping, meal planning, and food preparation in a residential, shelter, or group living environment.
  • Satisfactory Criminal Record Check and clearance from both Adult and Child Abuse Registries.

Working Conditions

Physical: This position will be based in an office environment and requires being seated at a workstation. This role also includes physical demands, such as cleaning, lifting, meal preparation, use of cleaning chemicals, work inside and outside of the building, various weather conditions, use of a ladder to access high-reach areas, and other shelter-related duties which require the ability to respond flexibility to both emotional and practical needs within the facility.

Mental Health: This position is based in a women's shelter environment and involves exposure to high-stress and crisis situations, including witnessing women and children in emotional distress or trauma. Staff may encounter clients in challenging personal circumstances, including individuals who may exhibit agitated or aggressive behavior.

Flexibility, patience, and the ability to remain calm and supportive in challenging situations are essential for success in this role.
