JOB DESCRIPTION

As part of the Total team, the Administrative Assistant is responsible for supporting the day-to-day administrative operations of the Elora branch. This is a front-facing role that includes reception duties, office coordination, and administrative support, along with involvement in recruiting and onboarding activities.

Working in close collaboration with the Management team, this position plays a key role in keeping branch operations organized, efficient, and aligned with company standards.

KEY RESPONSIBILITIES

Greet visitors, manage reception duties, and ensure sign-in and safety procedures are followed

Answer and direct phone calls, and manage general email and internal/external correspondence

Support recruiting and onboarding activities, including candidate communication and training coordination

Perform invoice verification and assist with general administrative processing

Coordinate meetings, training, travel, catering, and local deliveries as required

Prepare, format, and maintain documents, reports, and data using Microsoft Office tools

Perform data entry and maintain accurate records, tracking systems, and filing (physical and digital)

Sort and distribute incoming mail and courier packages

Track equipment and maintain organization of shared office/work areas

Maintain Health & Safety records, training matrix, and support safety reporting and general branch operations

JOB REQUIREMENTS

QUALIFICATIONS

Education: Post-secondary education or college diploma preferred

Experience: 2-3 years of office administration experience (recruiting or onboarding experience considered an asset)

Technical Skills:

Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

Experience with Microsoft Teams and SharePoint required

Familiarity with Microsoft Power Automate or Power BI considered an asset

Industry Knowledge: Industrial or safety-related experience is considered an asset
