ABOUT THE ROLE
Rec Media is looking for a Sales Support Assistant and Marketing Coordinator who loves to excel and exceed expectations! As the successful candidate, you will work full-time at the Rec Media head office in north Calgary. Reporting to the Retail and National Sales Manager, you will assist in streamlining and supporting all sales efforts such as presentations, sales document preparation, contract preparation, campaign facilitation, account (database) maintenance, marketing support (lunch & learn set up, notices/correspondence to clients), and general sales and marketing reporting. In doing so you will help the company continue in the direction of growth, enhanced client service and client development and retention activities.
The role will be roughly 65% Sales Support, 20% Marketing and 15% Assisting the Sales Manager.
SALES SUPPORT RESPONSIBILITIES
Sales Coordination & Proposal Support
· Support the sales team throughout the pre-sales process by preparing proposal materials and coordinating campaign planning.
· Research and compile facility inventories and availability for client proposals.
· Develop proposal mapping for retail, agency, and corporate campaigns.
· Create compelling advertising mock-ups and assist in the ongoing development of the company's mock-up program.
· Assist in planning and coordinating educational seminars and presentations for agency partners.
· Conduct campaign and market research to strengthen client proposals.
· Utilize CRM platforms (Microsoft Dynamics 365) to manage sales opportunities, support pipeline progression, and maintain accurate account information.
Contract Administration & Campaign Setup
· Assist in the preparation and execution of retail, agency, and corporate advertising campaigns.
· Prepare, review, and enhance client-facing contracts and sales documentation.
· Develop operational campaign documentation, including Work-in-Progress (WIP) reports, to ensure seamless project handoffs to the operations team.
Campaign Execution & Production
· Maintain and update advertising inventory databases for partner venues.
· Review and approve client artwork for both static and digital advertising formats to ensure quality and compliance.
· Create or edit client artwork using design software such as CorelDRAW, Canva, or similar platforms.
· Develop and maintain advertising specification sheets for existing and new media formats.
· Coordinate with external print vendors and creative partners to ensure high-quality production when required.
· Manage campaign planning and execution for pro bono and donated advertising initiatives.
· Monitor direct trade partnerships, campaign timelines, and contract expirations in collaboration with management.
Client Support & Post-Campaign Reporting
· Prepare professional campaign recap reports and performance summaries for clients and sales representatives.
· Support client retention initiatives and ongoing account management activities.
Sales Operations
· Prepare bi-weekly sales meeting presentations, including:
o Sales performance and goal tracking
o Sales pipeline reporting
o Individual sales representative performance
o Process updates and internal communications
o Sales training materials
· Coordinate the production and distribution of sales support and retention materials.
· Research and evaluate new software and technology solutions to improve sales productivity, lead generation, and marketing automation.
· Assist with recurring client appreciation and seasonal retention initiatives.
MARKETING RESPONSIBILITIES
Digital Marketing & Website Management
· Manage inbound marketing leads alongside the Sales Manager.
· Maintain and update the company website using WordPress and Elementor.
· Coordinate website enhancements with hosting providers and web development partners.
· Collaborate with SEO specialists to improve website visibility, search rankings, and overall performance.
· Coordinate monthly blog development with external content specialists.
Social Media & Brand Marketing
· Develop, execute, and manage the company's social media strategy across all platforms.
· Create, schedule, publish, and monitor social media content.
· Track campaign performance and provide regular reporting and recommendations.
· Develop and maintain the company's annual marketing calendar.
· Coordinate company participation in industry conferences, sponsorships, and networking events.
· Develop promotional materials and coordinate self-promotion initiatives with partner venues.
· Manage email marketing campaigns through Mailchimp.
· Assist in developing and maintaining the annual marketing budget.
· Coordinate video production projects, including editing and content development.
· Work with leadership to evaluate and implement AI-driven marketing tools and processes.
· Design and update marketing collateral for clients, partner venues, and business development initiatives.
· Prepare monthly marketing reports and presentations for leadership.
QUALIFICATIONS & SKILLS
· Degree or Diploma in Marketing, Communications, or equivalent.
· Minimum 2 years of marketing experience.
· Proficient in Microsoft platforms (Outlook, Word, Excel, PowerPoint, Sharepoint, OneDrive, etc.).
· Proficient in Design platforms (Canva, Corel Draw, Adobe Creative Suite, etc.).
· Understanding social media channels (Instagram, Facebook, & LinkedIn) and analytics and reporting tools.
· Strong organizational skills with the ability to manage multiple priorities and deadlines.
· Excellent written and verbal communication skills.
· Detail-oriented with a high level of accuracy.
· Proactive and solutions-focused, with the ability to work both independently and collaboratively.
ABOUT THE SUCCESSFUL CANDIDATE

You have a strong working knowledge of Microsoft Windows and intermediate to advanced knowledge of Microsoft Word, Outlook and Excel. Experience with Microsoft Dynamics CRM is an asset but not required. A valid Driver's License is required. Experience in working in a sales-oriented organization is considered an asset but not required. You have experience in proposal creation. Graphic design ability is an asset.
