We are seeking an Event Coordinator to join the Front Line Team of the Club, and oversee delivery of events at The Glencoe Club. You will focus on delivering a high level of customer service in planning and organizing of events that meets or exceeds member expectations. As the Event Coordinator you will be responsible for member experience and will deliver exceptional experiences in all that you do and will constantly aspire to create a second home environment for our members, guests and employees.

Responsibilities

  • Manage all Special Events, such as corporate meetings, celebrations of life, social parties, internal sports league functions including: take e-mail and telephone enquiries and book events accordingly
  • Create a detailed ?event order' for the booking and to act as the Member's contract and confirmation and as our working document
  • Send it to the Member/Non-Member to give estimated costs, set-up details, prices of food and beverages, audio visual requirements, any special requests, décor theme, and time frame
  • Attend functions as needed to oversee the set-up, to ensure the Members/Non-Members are happy with the arrangements and to make sure all goes smoothly
  • After the function, finalize payment and follow up with the Member/Non-Member to get their feedback and to ensure they are fully satisfied
  • Preparing the weekly BEO package & events sheet
  • Banquet POS updates and required daily, weekly, monthly and annual summaries and reports

Qualifications

  • A proven track record, with minimum of 2 years in a events or hospitality role
  • Excellent communication, writing and public speaking skills
  • A diplomatic personality able to foster relationships with members and employees
  • A team player who can be part of a team and execute exceptional service
  • Experience in delivery of fun and enjoyable events
  • High standards of ethics, honesty, and integrity
  • Excellent member service and interpersonal skills

Additional Details

This is a full time salaried position that reports to the Food & Beverage Manager. The successful candidate may be required to work a variety of shifts including weekdays, evenings, weekends and holidays, so a flexible schedule is required.

The successful applicant will be required to complete a background check as well as Respect in the Workplace and Respect in Sport online certifications prior to commencing employment.
