Based in Saskatchewan, Buckingham Security Services Ltd. is a Canadian firm with extensive experience in independent workplace conflict and complex business investigations, mediation for a restorative workplace, code of conduct issues, intrusion testing and event security solutions. ABOUT THE ROLE

This is an in-person role that requires you to be located in Regina, Saskatchewan and work from the office. This position reports to the Office Manager.

Key responsibilities but not limited to:

  • Administrative Support: Provide administrative support to various departments, executives, and staff members (i.e., coordinating calendars, organizing meetings, maintaining province licenses, file ledger assignments, client contracts, etc.)
  • Facility Management: Oversee the day-to-day operations of the office space, including maintenance, repairs, and ensuring a safe and efficient working environment.
  • Office Supplies and Inventory: Monitor and manage office supplies, equipment, and inventory. Order supplies as needed.
  • Communication and Coordination: Facilitate communication between departments and ensure information flows smoothly within the organization.
  • Budgeting and Expense Management: Assist in budgeting for office-related expenses and manage expenditures to stay within budgetary constraints.
  • Project Management: Coordinate and manage special projects or initiatives as assigned by senior management.
  • Human Resources Support: Assist in HR-related tasks, such as maintaining employee records and province investigator licenses. Collaborate with HR personnel when necessary.
  • Event Planning: Organize and coordinate office events, meetings, and conferences.
  • Technology Management: Troubleshoot basic technical issues or coordinate with Operations Manager for support.
  • Record Keeping: Maintain and organize office records, files, and documents on OneDrive (shared responsibility with several other team members).
  • Customer Service: Provide excellent customer service to both internal and external stakeholders.
  • Problem Solving: Address and resolve operational issues or conflicts as they arise. Provide administrative support to ensure the efficient operation of the office.
  • Perform all other duties as assigned.

QUALIFICATIONS & REQUIREMENTS

  • Organization: attention to detail, accuracy, calendar management, office management, time management, e-file management
  • Communication: clear written and verbal communication skills
  • Knowledge of office management and procedures
  • Technologically Savvy: experienced using Microsoft Office Suite (Word, Excel, PowerPoint, Teams, OneNote, Outlook, SharePoint and OneDrive file management)
  • Maintain confidentiality of all work-related materials and conversations.
  • Self-starter and empowered to get the work done with minimal direction
  • Excellent time management skills
  • Adaptable and flexible, ability to do a multitude of tasks and be open to assisting the team with other duties as needed
  • Motivation to take on new projects that may require research and willingness to learn new skills
