The Pioneer Community Living Association, a non-profit organization providing innovative housing and support to people with mild to complex mental illness, sometimes combined with substance use challenges, is hiring for a full-time Administrative Coordinator.

POSITION SUMMARY

We are seeking a detail-oriented and organized Administrative Coordinator to join our team. The Administrative Coordinator will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting various departments, and assisting with event coordination and communications.

The wage for this position ranges between $33.71-$35.78/hour, along with a generous benefits package and a Pension Plan (upon eligibility).

KEY RESPONSIBILITIES

  • Perform word processing and data entry, maintain databases, update manuals, and prepare reports, letters, memos, and presentations.
  • Respond to inquiries from clients, referral sources, funders, and staff, providing information on programs, policies, and application statuses.
  • Prepare letters and presentation materials from drafts or recordings using word processing, spreadsheets, graphics, and database software.
  • Refer issues to appropriate staff for follow-up.
  • Arrange meetings, and type and circulate notices and agendas.
  • Transcribe and distribute meeting notes and minutes.
  • Manage records, set up and maintain filing systems, and conduct file searches.
  • Handle cash transactions, receive payments, and issue receipts.
  • Process and monitor financial transactions.
  • Examine and reconcile expenditures and financial records, including bank statements.
  • Ensure information accuracy in liaison with managers and staff.
  • Monitor and process expenses.
  • Assist with program budget monitoring and analysis.
  • Assist with website maintenance and communication strategies.
  • Compile statistics, maintain office equipment and supplies, and arrange for maintenance and repairs.
  • Perform other related duties as assigned.

EDUCATION, TRAINING, AND EXPERIENCE

  • Graduation from a recognized administrative assistant post-secondary program.
  • One to two years of experience or an equivalent combination of education, training, and experience.

SKILLS AND ABILITIES

  • Typing speed of 60 wpm with high accuracy.
  • Proficiency with MS Office (Word, Excel, PowerPoint, Teams, and Adobe Suite).
  • Experience with Accounting & Payroll software (e.g., SAGE 50 and ADP Canada).
  • Ability to handle confidential and sensitive information with discretion.
  • Professional and courteous communication skills, both verbal and written.
  • Strong time management and organizational skills.
  • Ability to work independently and follow instructions.
  • Physical ability to perform the duties of the position.

OTHER REQUIREMENTS

  • Full COVID-19 vaccination as per current Public Health Orders. Proof of vaccination status will be required.
  • Must pass an enhanced criminal record check.
