EXECUTIVE ASSISTANT, PUBLIC AFFAIRS & MARKETING

Victoria or Lower Mainland

THE OPPORTUNITY

We are searching for an Executive Assistant to join our Public Affairs & Marketing Team. As an Executive Assistant, you provide the highest level of effective and efficient executive support in a fast-paced Division that is undergoing exciting changes. You are Highly proactive with dynamic anticipation of executive's needs. Your work also requires comprehensive experience and skill, and exceptional judgement and discretion.

THE ROLE

Reporting directly to and partnering with the VP Public Affairs and Marketing, you add value by key areas of oversight such as:

  • Serving as the primary contact for both internal and external stakeholders for the VP and coordinating divisional activities as required
  • Performing advanced, diversified and confidential duties that may be administrative in nature or project based
  • Managing an extremely active and dynamic calendar of meetings, appointments, travel and activities, and independently making scheduling decisions on behalf of the VP
  • Providing a bridge for smooth communication between the VP's office and the division, BCF leaders and staff, and external audiences; demonstrating leadership to build and maintain credibility and trust
  • Anticipating upcoming commitments and responsibilities to ensure the VP is informed, prepared and there is appropriate follow through
  • Liaising with both internal and external groups on behalf of the VP to plan and preparing for meetings, including securing venues (both physical and virtual), and preparing meeting materials
  • Supporting the development and management of the division's annual budget, variance reports and expenditures, including monitoring and reporting on departmental expenditures, processing of invoices and purchase orders

WHAT YOU BRING TO THE TEAM

You bring minimum of 7 to 9 years' proven experience as an administrative professional with a certificate or diploma in Office Administration. A Bachelor's degree preferred.

You are professional and positive, with an ability to exhibit discretion and confidentiality and have strong interpersonal skills. You are highly organized with a strong commitment to customer service and a proficient team player able to work with multiple departments simultaneously. You possess excellent verbal and written communication skills, and an ability to work well under time constraints and prioritize competing tasks appropriately. You will be joining a team undergoing exciting changes.

ADDITIONAL INFORMATION

The target salary range: $81,100 - $101,300 per annum. The starting salary is determined based on the successful candidate's knowledge, experience and internal equity. Starting salary may exceed the target range on exceptional basis.
