POSITION DESCRIPTION

Title: Marketing & Events Coordinator

Reporting to: Marketing & Events Manager

Position: Seasonal Full-Time

This role is responsible for providing administrative support to the Marketing & Events Manager as well as booking, coordinating and hosting mid-week and other groups at the Club.

DUTIES & RESPONSIBILITIES

  • Supporting the Marketing & Events Manager in organizing and executing member and group events.
  • Working closely with the Finance department to complete billing process for events and groups as needed.
  • Advanced communication with team members so all departments are aware of event / group needs and their roles within each event.
  • To ensure quality midweek service to our members and their guests.
  • Work with the Marketing & Events Manager to develop new strategies to increase group bookings and lift ticket sales.
  • Develop a group events schedule and liaise with other department managers to cost out the group events accordingly.
  • Facilitate a smooth group experience including pre-event day organization (Food & Beverage needs, signage development, ticket printing, rental coordination, alpine program bookings), day of event customer service and execution.

REQUIRED KNOWLEDGE & SKILLS

  • Minimum of two (2) years of experience in administration and event execution, preferably in a private member club setting.
  • Jonas Software and Excel experience are an asset.
  • Able to deal with a multitude of people (co-workers, members and suppliers).
  • Ability to multi-task and work in a fast-paced, high-volume environment.
  • Analytical and problem-solving skills.
  • Attention to detail and very effective organizational skills.
  • Stress and time management skills.
  • Excellent verbal, written and listening communication skills.
  • Demonstrated exceptional customer service skills.
  • Ability to work collaboratively across all levels of the organization.
  • Flexible, adaptable and able to execute a range of job duties and changing priorities.

HOURS OF WORK

  • Seasonal part-time, full-time.
  • Shoulder season: October and April - 2 to 3 days a week
  • Ski Season (typically November to early April): Wednesday to Sunday with Monday and Tuesday off (depending on office hours and needs).
  • May, June, July & August off.
