The Role:

Our Sales Administrator is a vital role in the Bluewater Energy Team, responsible for ensuring the smooth operation of administrative tasks and supporting the sales and marketing activities. The Sales and Administrator will handle various tasks such as coordination, customer service, sales (where appropriate), order processing, creating project proposals, creating marketing material, sales data management, and customer communication. The Sales Administrator also meticulously manages our CRM system, creates and manages sales/project documentation, organizes and monitors project applications and coordinates various schedules. The Sales Administrator collaborates closely with Operations and Sales Management to ensure a seamless sales process and a high degree of customer satisfaction.

A Day in the Life

  • Order Management
  • Process sales orders and ensure that they are fulfilled in a timely manner.
  • Verify order details and liaise to clarify any discrepancies.
  • CRM Management
  • Update and maintain customer records in the CRM system
  • Ensure all sales activities, communications, and opportunities are accurately logged.
  • Sales Documentation
  • Prepare sales-related documents such as quotes, contracts and proposals. Assist with the creation and distribution of sales materials and presentations.
  • Scheduling
  • Coordinate and manage appointment schedules for the sales team.
  • Organize and set up meetings with clients or potential leads
  • Communication
  • Respond to customer inquiries via phone or email, providing timely and accurate information. Relay information between the sales team and other departments
  • Reporting
  • Compile and generate regular sales reports, including weekly, monthly, or quarterly overviews.
  • Assist with data analysis to identify sales trends, performance metrics, and areas for improvement.
  • Inventory Management
  • Monitor product inventory levels and notify relevant teams of replenishment needs.

  • Sales Support
  • Assist sales representatives with various tasks to support their efforts.
  • Coordinating appointments, preparing and maintaining client documentation such as OTC applications with local utility, administering and maintaining client account files and preparing client documents)
  • Team Collaboration
  • Work closely between sales and marketing to ensure alignment in sales-related activities. Assist in planning and organizing marketing activities such as social media posts, tradeshow and industry events.
  • Feedback Collection:
  • Gather feedback from customers and relay it to relevant teams for product or service improvements.
  • Support in conducting customer satisfaction surveys or studies.

Qualifications:

  • Post Secondary Education
  • 1+ years of Sales Administration
  • 1+ years of Wordpress
  • Strong proficiency in Outlook, MS Word, MS Excell, Powerpoint
  • Must be comfortable using CRM
  • Must have excellent organizational, administrative, communication, and interpersonal skills.
  • Valid Ontario Drivers License
