Job Description

RHS is seeking a highly organized and detail-oriented Administrative Assistant to join the Victoria office. The position is full-time in-office Monday to Friday, eight hours per day. The ideal candidate will play a crucial role in supporting day-to-day operations ensuring the smooth functioning of both our offices and assisting remote workers and consultants. RHS is looking for a proactive individual with excellent communication skills and a passion for efficiency.

Responsibilities

ADMINISTRATIVE SUPPORT

  • Provide administrative support to the leadership team, including calendar management, travel arrangements, and expense reporting.
  • Manage office supplies, equipment, and facilities to ensure a well-maintained and efficient work environment.
  • Assist in organizing company events, meetings, and conferences, both on-site and off-site.
  • Handle incoming calls and emails, directing inquiries to the appropriate department or personnel.
  • Maintain and update records, databases, and filing systems in an organized manner.
  • Collaborate with other team members to ensure effective communication and workflow within the organization.
  • Perform general clerical duties, such as photocopying, faxing, mailing, and filing.

COMMUNICATION

  • Coordinate a portfolio of affordable housing clients - listening to clients, their service expectations, and their individual requirements.
  • Keep in regular contact with clients, ensuring that dates and times of client general meetings, Board Meetings, and virtual/on-site client liaison meetings are updated and posted on the internal information gathering system.
  • Communicate efficiently, accurately, and timeously, both verbally and in writing and prepare recommendations for improvements where possible.

Qualifications

  • Proficient in MS Office (Word, Excel, PowerPoint, SharePoint) and other relevant software.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Attention to detail and a proactive mindset.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proven experience as an administrative assistant or in a related role.
  • One year of experience working in an office setting.

Education and Experience

A high school diploma required; additional qualifications in office administration or post-secondary business courses would be an asset.

Other Requirements

The administrative assistant will need a driver's license and personal vehicle.

Compensation

$72,000/annually
