Job Description Summary

The Communications Coordinator will manage the public image of the Department of Microbiology and Immunology (MBIM), and will promote both external and internal communications. They will implement and coordinate initiatives to improve the presentation of the department to stakeholders and the public. The position will manage and support the communication of research, teaching, and outreach activities through effective use of web standards, social media channels, written publications, and oral presentations.

Organizational Status

The position reports to the Director of Operations while receiving direction from the Head of Department. The position will work collaboratively with staff, faculty, and trainees to develop content.

Work Performed

  • Researches, writes, edits and produces content for the Department of Microbiology and Immunology. Content includes material for websites, social media accounts, event announcements, brochures, newsletters, presentations, and signage. The primary focus of content is on research, teaching, and outreach activities. The audience will vary from within the department to other academic units, alumni, and the general public.
  • Interacts with department members regularly to learn about the latest research, teaching and upcoming events to communicate, and to build a solid communication network within the department.
  • Plans, develops, manages departmental events and seminars that foster community, enhance knowledge translation, and create a positive student experience.
  • Manages internal communications for MBIM, including creating and distributing a newsletter and broad messages.
  • Explores new forms of communication to encourage interactions both within department groups and outside.
  • Uses best practices of equity, diversity, and inclusion (EDI) in all forms of communications.
  • Advises and shares best practices with faculty, staff, and trainees on development of communication content to ensure public facing material is consistent with department standards.
  • Regularly reviews website content and design for effectiveness, quality, accuracy, consistency, and timeliness.
  • With UBC Marketing and Communications, ensures department's branding adheres to UBC standards and is consistent across all channels. Trains staff, faculty, and trainees on the use of templates, brand elements, and software applications
  • Monitors and uses social media to promote the work of the department. Creates social media content.
  • In coordination with UBC Media Relations, responds to media and public inquiries, and tracks media exposure.
  • Takes pictures at events and other activities, adheres to UBC Consent of the Use of Image standards, and manages a library of graphics for communication use.

Consequence of Error/Judgement

Errors could seriously impair the public image of the Department of Microbiology and Immunology and impact the reputation of the University. Lack of effort or poor judgment would result in lack of appropriate and timely information made public for faculty and students.

Works with considerable latitude. Self-directed once priorities are set. Work is reviewed in terms of achievement of specific project objectives.

Minimum Qualifications

  • Willingness to respect diverse perspectives, including perspectives in conflict with one's own

Preferred Qualifications

Undergraduate degree in a relevant discipline. A university degree in Science Communications, Microbiology and Immunology or related life sciences degree, or a degree in communications, marketing, journalism, media relations, with a knowledge in Microbiology and Immunology is preferred. Minimum of four years experience or the equivalent combination of education and experience. Experience working in Communications preferred. Experience in or understanding of the research and teaching performed in the department is preferred and direct knowledge/experience of the department is an asset. An outgoing nature and good social skills are desired traits for this position.

  • Ability to compose reports, presentations, social media content using clear concise English.
  • Ability to communicate effectively to diverse audiences of researchers, educators, alumni, and community groups.
  • Ability to accurately proof read for spelling, grammar, and punctuation.
  • To have a working knowledge of communication strategies and practices.
  • Ability to effectively use websites and social media platforms
  • Ability to work independently to initiate and complete projects and to work effectively as part of a team

Ability for self-directed learning and to introduce new innovations.

Ability to talk to departmental members to gain new insights and knowledge and bring groups together to improve communications within the department.

  • Ability to plan, schedule and prioritize workload, anticipate problems, and propose solutions.

  • Ability to use Canvas and teaching web tools, Microsoft teams, build on-line surveys, use website content management software (eg. Drupal) and social media applications at an advanced level.
