SAIT's Commercial Services department runs SAIT-led businesses, handling internal and external conference and event services, and coordinating independent contractors and franchisees responsible for food services, graphic design and printing needs. The Opportunity

Reporting to the Associate Director - Commercial Services, we are looking for a highly organized and detail?oriented Event Coordinator, Conference Services to join the Commercial Services team.

The Event Coordinator for SAIT Conference Services will be instrumental in promoting SAIT's event facilities, driving sales, and ensuring a seamless, positive customer experience through detailed event planning and logistical coordination. This role will collaborate with internal and external stakeholders to achieve successful event outcomes.

The Role

  • Develop strong working relationships with internal stakeholders for effective event planning.
  • Coordinate event logistics with internal and external stakeholders.
  • Manage all prospect and customer queries.
  • Learn and adeptly utilize software platforms such as Social Tables and StarRez to facilitate event planning, guest management, and logistics coordination.
  • Communicate upcoming events to relevant internal departments.
  • Negotiate and draft contractual agreements based on established guidelines.
  • Transition event details to the event coordinator for day?of?event management.
  • Follow up with customers post?event to evaluate success and satisfaction.
  • Support social media strategies and content to promote events, manage social media accounts and engage with online communities to enhance visibility for Conference Services.
  • Oversee event logistics, including venue selection, equipment rentals, and catering arrangements.
  • Maintain event databases and records, ensuring accurate and up?to?date information for reporting and analysis.
  • Work with internal stakeholders including employees and students, gather event requirements to ensure successful execution.
  • Support the Office of Sustainability to lead and integrate environmentally sustainable practices within the organization, ensuring adherence to green initiatives and standards.

QUALIFICATIONS & EXPERIENCE

  • Minimum
  • Certificate in Marketing, Event Planning, or related field.
  • 1 - 2 years of experience in Event Planning or related industry
  • Proficiency in MS Office applications.
  • Experience in or understanding of catering and food service.
  • Experience in developing process?driven sales strategies.
  • Flexible availability to work on evenings, weekends, or holidays, as required by event schedules

Preferred

  • Diploma or Degree in related field
  • Other combinations of experience and education may be considered

Skills required

  • Excellent written and oral communication skills.
  • Strong organizational skills and experience in event coordination.
  • Extensive experience with the business community.
  • Analytical ability and sound judgment.
  • Ability to work effectively as a team member.
  • Knowledge of current communication practices and ethical standards.
  • Passionate about customer service.

Salary range: $50,000 - $54,000
