Role Overview:
Fluid Events is looking for a motivated and organized Events & Office Assistant to become an integral part of our energetic team. This role involves managing office administration, assisting the CEO with event-related tasks, supporting client onboarding, contributing to key events, and handling light bookkeeping and expense management for the CEO. This position is perfect for someone who is detail-oriented, passionate about event planning, and excels at multitasking.
Key Responsibilities:
Office Administration:
- Manage day-to-day office operations, including scheduling, correspondence, and office supply inventory.
- Coordinate meetings and prepare necessary materials.
- Perform basic bookkeeping tasks, including tracking expenses and processing invoices.
- Collaborate directly with the CEO to handle all administrative tasks related to client onboarding.
- Manage and reconcile CEO expenses and maintain accurate records.
Event Support:
- Assist with planning, organizing, and executing events, including logistics, setup, and on-site coordination.
- Work with vendors and suppliers to ensure event requirements are met.
Team Collaboration:
- Build & foster a team culture that encourages collaboration and relationship building
- Support the events team with various administrative tasks and project coordination.
- Prepare reports and documentation as needed.
Required Qualifications:
- 1-2 years of experience in office administration and/or event planning.
- Strong organizational and multitasking skills.
- Proficient in handling multiple competing deadlines in a fast-paced agency environment.
- Excellent written and verbal communication abilities.
- Proficiency in Google Suite and Canva
- Possession of a valid G driver's license and consistent access to a car are necessary for this role, as errands will be part of the responsibilities.
Preferred Qualifications:
- Ability to work effectively in a fast-paced environment and adapt to changing priorities.
- Strong organizational skills to work closely with the CEO, managing her dynamic schedule and handling tasks that may be assigned on the fly.
