POSITION OVERVIEW : 

As the Events & Communications Administrator, you are an organized, detail-oriented, and self-motivated professional. Joining the Healthcare Professionals (HCP) Communications team, you will manage end-to-end meeting logistics to ensure a seamless experience for all stakeholders. Additionally, you will oversee the administration of our CRM, ensuring data integrity while recommending and implementing best practices to optimize our processes.

JOB DUTIES & RESPONSIBILITIES : 

Meeting Logistics & Communications

  • Manage the end-to-end meeting logistics for various virtual meetings, ensuring smooth execution and a positive experience for all HCPs, clients, and internal cross-functional teams.
  • Regularly communicate with HCPs regarding event-related details, including invitations, follow-ups, reminders, and contractual information collection.
  • Create and maintain relationships with our HCPs to ensure that they continue to have an excellent experience working with CTC.
  • Training and resourcing of virtual meeting support team.
  • Develop and maintain healthy relationships with the internal cross-functional teams.
  • Keep track of virtual meetings from a timeline perspective, flag deviations and plan for contingencies.
  • Participate in dry runs of virtual meetings with the internal team, clients, and HCPs.
  • Support with logistics for in-person meetings, with potential travel required.

CRM Administration

  • Manage the administration of our CRM. This includes ensuring data quality, recommending and implementing best-practice processes, and overseeing automations, workflows, and more.
  • Create and analyze campaign reports and dashboards to drive data-informed decisions.
  • Develop and disseminate personalized email journeys using our marketing tools.
  • Continuously explore and implement innovative solutions to enhance efficiency with existing software and identify opportunities to integrate new tools for streamlined processes and improved outcomes.

YOU WILL BE SUCCESSFUL IN THIS ROLE IF YOU HAVE/ARE:

  • 3+ years in an administrative and/or event logistics role.
  • Personable and a naturally friendly individual who can build trusted relationships.
  • Exceptional organizational, time management, and prioritization skills to effectively perform in a dynamic and quickly changing environment.
  • Flexible with time - some meetings (virtual and in-person) may require after-hours presence.
  • Able to engage effectively with healthcare professionals through clear communication, both written and spoken.
  • Tech-savvy and a quick learner with new software.
  • Experience with CRM and/or marketing automation software such as SalesForce, Pipedrive, Mailchimp, HubSpot, etc.
  • Proficient in Microsoft 365 Office suite, as well as remote systems such as SharePoint, MS Teams, and Zoom.
  • Experience in the medical communications industry or with healthcare professionals is an asset.
  • Bilingual in English/French is an asset.
