Organization Overview

The Mel Jr. & Marty Zajac Foundation is a not-for-profit organization, located in Vancouver, BC, whose mandate is to support children, seniors and those with special needs through innovative community projects focused on developing lifelong skills and independence. Our current major focus is Zajac Ranch for Children, a camp in Mission, BC, for children with chronic, life-threatening and/or debilitating conditions.

Opportunity:

We are seeking a Sales & Marketing Manager (SMM) to join our team at the Vancouver office. The successful candidate will oversee and manage year-round site rentals and marketing initiatives for Zajac Ranch for Children and the Mel Jr and Marty Zajac Foundation. The Sales & Marketing Manager plays a key role in assisting the organization to reach its resource development, marketing, communications goals and objectives, while elevating the brand profile and building sound donor relationships to sustain and grow the organization and impact in the community.

Key Responsibilities:

Sales

  • Implementing successful sales initiatives to promote and secure rentals at Zajac Ranch.
  • Collaborate with senior management and executive team to ensure key areas of focus are prioritized in order to determine sales outreach efforts.
  • Oversee day-to-day sales, monitoring, and forecasting to better understand the market.
  • Being the initial point of contact for all rental clients, new and repeat.
  • Lead and execute retention strategies for all site rentals.
  • Coordinating and managing registration of off-season rentals year-round, including scheduling, correspondence, payments and general inquiries.
  • Completing and processing customer booking needs in a timely and accurate manner.
  • Corresponding with families, program staff, volunteers and other professionals and agencies.
  • Continually assess organizations sales techniques and their efficacy.
  • Stay up-to-date on current market trends and build an annual sales plan to increase profitability and brand recognition.
  • Work collaboratively with the Director, Operations and other department heads to assess current projections and develop forecasted projections.
  • Own ultimate responsibility for successfully meeting or exceeding sales targets/goals.
  • Collaborate with all department heads to creatively reach more potential customers.
  • Cultivate and deepen client relationships and partnerships that add value.
  • Monitor and guide all pipeline management tactics, including tour information (pe-tour checklist) to those executing tours at the Ranch. Ensure that post-tour information is relayed from the tour lead in an effective manner (post-tour checklist).
  • Monitor and guide all lead engagement strategies.
  • Track and report on quarterly sales targets actuals, analyzing tactics and performance on an ongoing basis to tweak and advise as needed.
  • Oversee CRM compliance and leverage the reporting and dashboard functions to monitor conversion, pipeline quality, responsiveness and lead qualification.
  • Assess all active aggregator listings for rentals and regularly to determine their effectiveness, performance and ROI.
  • Document and organize recurring sales responsibilities into standard operating procedures and ensure training & development lead has the relevant information to add to LMS.
  • Conduct research and stay up to date on industry and market trends and innovations which may be implemented to improve the organizations value proposition and maintain a current competitive set analysis.

Marketing

  • Implementing successful marketing initiatives to promote and secure rentals at Zajac Ranch.
  • Collaborate with senior management and executive team to ensure key areas of focus are prioritized in order to determine marketing efforts.
  • Manage the design, production and distribution of marketing collateral in support of fundraising initiatives, public awareness, and Ranch rentals including: spring/fall newsletters - digital and print (in collaboration with the Philanthropy & Communications Officer), Camper Report (in collaboration with the Philanthropy & Communications Officer), E-blasts, direct mail campaigns, crowdsourcing, sponsorship packages, proposals, annual reports, presentations, and event marketing.
  • Optimize public relations opportunities and develop strong media relations.
  • Promote Zajac Camp and Ranch rentals via paid advertisement and PR, in collaboration with the Philanthropy & Communications Officer & senior management team.
  • Manage social media content, design and social media accounts, along with social media related platforms in Social Pilot.
  • Provide support in preparation of sponsorship and major gift proposals, agreements and reports.
  • Continually assess organizations marketing techniques and their efficacy in affecting sales.
  • Update and maintain the Zajac Ranch and Zajac Nights websites.
  • Track and record data i.e. SEO tracking, google analytics etc.
  • Seek and conduct interviews with stakeholders i.e. campers, camp families, donors to increase public awareness and impact reporting, in collaboration with the Office & Registration Manager and senior management team.
  • Stay up-to-date on current market trends and build an annual marketing plan to increase profitability and brand recognition.
  • Collaborate with internal and external team members to deploy successful marketing campaigns and own their implementation from ideation to execution.
  • Assist with the development of strategies and tactics that get the word out about the organization (Ranch & Foundation) and drive qualified traffic.
  • Oversee and contribute to a variety of organic and paid acquisition channels like content creation, content curation, pay-per-click campaigns, publicity, social media, lead generation campaigns, copywriting, and overall performance in conjunction with the approved budget.
  • Write drafts and edit content for publication on the organizations website and marketing collateral.
  • Prepare and monitor the marketing budget on a quarterly and annual basis, in collaboration with senior management team.
  • Measure and report on the performance of marketing campaigns, gain insight and assess against goals.
  • Draft and send email communications to organizations data list using current CRM systems.
  • Maintain all third-party directory listings and respond to reviews.
  • Document and organize recurring marketing responsibilities into standard operating procedures and inputting them to the organizations LMS.
  • Create graphic templates for Social Media (i.e mood board for Instagram) in collaboration with Camp Director and Philanthropy & Communications Officer.
  • Monthly Analytic reporting

Qualifications:

  • Three years (minimum) experience in a sales related role, plus three years (minimum) experience in marketing and communications.
  • A degree from a reputable nonprofit organization with a focus in communications, marketing, public relations, or other relevant discipline.
  • Excellent writing, editing, and proofreading skills for all media.
  • Minimum of three years working in an office environment at an management level required.
  • Working knowledge of Wordpress or other website builders.
  • Strong computer/software literacy skills - particularly with Microsoft Office Suite, Outlook365
  • Experience with computer graphic programs an asset, particularly in Canva and Adobe Creative Suite.
  • Working knowledge of CampBrain (CRM) & Raiser's Edge/LXT (CRM) an asset.
  • Strong social media skills.
  • Exceptional communication, interpersonal and organizational skills.
  • Proven track record in successful risk management and demonstrate a superior problem-solving ability.
  • Ability to build and maintain client relationships.
  • Excellent verbal, written, presentation, and analytical abilities; vigorous attention to detail, exceptional time and organizational management.
  • Customer service, hospitality and camp experience an asset.
  • Not-for-profit, experience working in the social service/charitable sector an asset.
  • Experience managing external relationships with media, web designers, writers, photographers, graphic designers, and other suppliers.
  • Strong project management skills, with the ability to multi-task and work under competing priorities and deadlines.
  • Ability to work independently and as part of a team.
  • Great collaboration skills and working in multi-departmental spaces.
  • Ability to work effectively with multiple stakeholders including: donors, clients, board members, program staff, volunteers; sensitivity to working with people from diverse and vulnerable communities.
  • Ability to handle confidential material with discretion.
  • Comfortable interviewing program participants and translating their stories.
  • General knowledge of stewardship and marketing best practices with a steadfast commitment to ongoing learning and development.
  • Flexibility with work schedule. Some evening work may be required for special events and committee meetings.
  • Ability to self-manage workload volumes (highly organized) and changing priorities (multi-tasking) in a team spirited environment with a strong results- oriented focus essential.
  • Demonstrate Business Development Skills including the ability to analyze, plan, and initiate projects.

Job Type:

Compensation:

  • $60,000 - $65,000.00 per year *based on experience level
