DESCRIPTION

This position is a part of the Non-Academic Staff Association (NASA).

This position has a term length of 12 months from the date of hire.

Location - This role is hybrid with a mix of remote and in-person. On-site work primarily takes place at Enterprise Square, Edmonton. The candidate must be available to travel to and provide in-person event support.

Position

Reporting to the Director, Innovation & Partnerships, the Programs & Events Coordinator is an integral member of the AVP Innovation, Knowledge Mobilization, and Partnerships team. Our team supports programs, services and events serving the University of Alberta Colleges, Faculty and students that encourage and facilitate Innovation, Knowledge Mobilization, and Partnerships.

The Program & Events Coordinator will support the planning and execution of VPRI events focused on innovation, commercialization, knowledge mobilization, and partnerships at the University of Alberta. This role will facilitate the organization of various programs and events that foster collaboration among researchers, students, and community partners.

Duties

  • Coordinate the Lab2Market program intake process, including promoting programs across the University to attract potential participants.
  • Develop marketing materials and strategies to enhance program visibility and engagement.
  • Facilitate the Lab2Market Program Delivery
to ensure participants understand their responsibilities and meet program obligations.
  • Provide ongoing support and resources to participants throughout the program duration.
  • Coordinate programming efforts with other university initiatives to maximize resources and opportunities for collaboration.
  • Artificial Intelligence Discovery Place (AIDP) Event Support
  • Assist in the planning and coordination of AIDP related events such as hackathons, educational workshops, etc.
  • Help develop event materials, including agendas, promotional content, and participant resources.
  • Logistical Coordination
for in-person events, such as venue setup, equipment sourcing, and catering coordination.
  • Assist in the production of hybrid and virtual events, including platform setup, technical support during events, and coordination with speakers.
  • Manage online registration processes, including tracking registrations and providing support to participants.
  • Support community-building activities during events, facilitating interactions among participants to enhance networking opportunities.
  • Assist in outreach efforts to promote events and increase engagement within the University and the broader community.
  • Collect feedback from participants post-event and assist in compiling evaluation reports to inform future initiatives.
  • Maintain organized records of event attendance and engagement metrics for reporting purposes.

Qualifications:

  • An undergraduate degree in a related discipline
  • Minimum of two years of related experience
  • Knowledge of entrepreneurship and commercialization
  • Demonstrated ability to plan, coordinate, and execute events and community-building projects
  • Strong organizational skills with attention to detail and the ability to manage multiple projects simultaneously
  • Ability to adjust to changing priorities and environments while maintaining effectiveness and productivity
  • Strong problem solving and critical thinking skills to identify innovative solutions
  • Excellent communication skills
  • Proficiency with MS Office suite, Google Applications
