About the Role

We are looking for a dedicated and detail-oriented Project Support Specialist to join our dynamic team. The ideal candidate will play a crucial role in assisting project managers and ensuring the smooth execution of various projects. This position requires a proactive individual with excellent organizational skills, the ability to multitask, and a keen eye for detail. As a Project Support Specialist, you will be responsible for coordinating project activities, managing documentation, and communicating with stakeholders to ensure that projects are completed on time and within budget. You will also be involved in tracking project progress, preparing reports, and providing administrative support to the project team. Your ability to work collaboratively with different departments and your strong problem-solving skills will be essential in this role. Role and responsibilities include, but are not limited to:

  • Assist project managers in planning and executing projects.
  • Coordinate project activities and ensure all tasks are completed on time.
  • Manage project documentation and maintain accurate records.
  • Communicate with stakeholders to provide updates and gather feedback.
  • Track project progress and prepare status reports.
  • Identify and resolve any issues that may arise during the project lifecycle.
  • Support the project team with administrative tasks.
  • Ensure compliance with company policies and procedures.
  • Assist in the preparation of project budgets and financial reports.
  • Facilitate meetings and prepare meeting minutes.
  • Monitor project timelines and ensure deadlines are met.
  • Coordinate with different departments to ensure project requirements are met.
  • Provide training and support to new team members.
  • Assist in the development of project plans and schedules.
  • Conduct research and gather information for project planning.
  • Ensure all project deliverables meet quality standards.
  • Assist in risk management and mitigation strategies.
  • Support the implementation of project management tools and software.
  • Maintain effective communication with all project stakeholders.
  • Assist in the evaluation and assessment of project outcomes.

Experience and Qualifications:

  • Bachelor's degree in business administration, Project Management, or related field.
  • Minimum of 2 years of experience in a project support role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in project management software and tools.
  • Ability to work independently and as part of a team.
  • Detail-oriented with strong problem-solving skills.
  • Ability to manage multiple projects simultaneously.
  • Strong time management skills and ability to meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with budget management and financial reporting.
  • Knowledge of project management methodologies and best practices.
  • Ability to adapt to changing priorities and work in a fast-paced environment.
  • Strong analytical and critical thinking skills.
  • Experience in coordinating with cross-functional teams.
  • Ability to handle confidential information with discretion.
  • Strong written and verbal communication skills.
  • Experience in preparing and presenting reports.
  • Ability to facilitate meetings and workshops.
  • Certification in project management (e.g., PMP, CAPM) is a plus.
