The Event and Marketing Coordinator will be instrumental in enhancing the client experience for BG's event planning services. This proactive and dynamic individual will primarily focus on event registration, ensuring a seamless and exceptional client journey from initial contact to post-event follow-up, with a strong commitment to excellence at every stage. Additionally, the coordinator will support BG's marketing and communication initiatives, while also assisting with sales efforts to ensure the effective integration of event planning and marketing strategies that drive client satisfaction and business growth. The ideal candidate will possess outstanding organizational skills, a keen eye for detail, and proactive communication abilities.
Position Type: Full-Time / Contract Optional
Job Location: Hybrid - The office is in Hensall, ON. The option for full remote work is possible upon further discussion, but three days a week in the office is preferred.
Reports To: Director of Operations
Work Schedule: Monday to Friday. Occasional evening or weekend on-site work might be required depending on event dates.
Key Responsibilities:
Event Registration and Client Experience:
- Manage event registration for attendees, sponsors, and exhibitors using STOVA, ensuring smooth and accurate registration processes.
- Proactively communicate with registrants, addressing any issues or inquiries related to registration and event participation.
- Coordinate with internal teams to ensure that all logistical details related to registration are in place.
- Collect and analyze client feedback to continually improve the client experience.
- Attend events on-site.
Marketing and Communications:
- Lead the marketing strategies and efforts for BG.
- Work closely with the external promotional lead to create and execute client campaigns and communications.
- Support the creation and distribution of BG and client marketing materials, including client communications, copy writing, event announcements, and promotional content.
Sales and Business Development Support:
- Assist with Requests for Proposals (RFPs), contracts, and sales decks, ensuring alignment with BG's business development goals.
- Handle administrative duties related to client relations, including managing communications and assisting in sponsorship coordination.
Qualifications and Skills:
- Post-Secondary education in marketing, communications, event management, or a related field.
- Experience in marketing, communications, or event management.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with event management platforms (STOVA is an asset).
- Knowledge of all social networking platforms
- Strong organizational skills with the ability to handle multiple tasks and meet deadlines.
- Self-motivated, critical thinker with a strong drive for continuous improvement and growth.
- Strong attention to detail and the ability to problem-solve and adapt quickly to changing circumstances.
- Excellent written and verbal communication skills, with a professional demeanor and ability to engage with diverse stakeholders.
- Enjoys being part of a team and working in a fast-paced and collaborative environment.
