Job Description:

The Executive Assistant will work directly with the Canada Managing Director and be responsible for providing high-level administrative support. This role requires excellent communication skills, attention to detail, and the ability to manage a variety of tasks efficiently. This role is a part-time position (0.6 FTE).

Key Responsibilities:

  • Calendar Management: Coordinate and manage complex schedules, ensuring meetings are planned effectively, handling any changes or conflicts promptly.
  • Communication: Serve as the point of contact between the executive and internal/external stakeholders. Draft and manage emails, memos, and correspondence on behalf of the executive.
  • Travel Arrangements: Plan and organize domestic and international travel itineraries, accommodations, and logistics.
  • Meeting Preparation: Prepare agendas, meeting materials, and presentations. Attend meetings, take minutes, and follow up on action items.
  • Project Management: Assist with key projects, including research, tracking progress, and ensuring deadlines are met.
  • Event Planning: Organize company events, off-site meetings, and team-building activities.
  • Expense Management: Process and track expense reports, invoices, and budgetary documentation.
  • Confidentiality: Handle sensitive information with discretion and maintain a high level of confidentiality.

Qualifications:

  • A minimum of a Diploma in business administration, communications, or related field. A combination of education and prior working experience may be considered.
  • Proven experience as an Executive Assistant or a similar administrative role supporting senior leaders.
  • Passion for and commitment to supporting the Christian Education community and its values.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook), familiarity with virtual meeting software (Zoom, Teams), and familiarity with design and graphic communication software (PowerPoint, Canva) is required.
  • Excellent organizational and multitasking abilities with exceptional attention to detail.
  • Strong written and verbal English language communication skills.
  • Ability to work independently, prioritize tasks, and handle high-pressure situations with professionalism.
  • Discretion and confidentiality in handling sensitive matters.

Preferred Skills:

  • Experience in employee benefits is a plus.
  • Project management certification (e.g., PMP) is a bonus.
