EXECUTIVE ASSISTANT

ABOUT THE ROLE

In this role, you will provide direct high level executive administrative support to the Vice President Projects as well as executive assistance to the broader Operations team members as required while exercising judgement in the performance of duties under a high degree of autonomy.

You will assist and support fostering of effective relationships between leaders and the interfaces within the organization through clear, positive, outcomes focused communications and seeking to understand others. Liaise with geographically dispersed managers and customer/supplier base. Such interaction is expected to be of an influencing and where necessary assertive nature to ensure issues are resolved quickly and satisfactorily, requiring clear thinking of alternatives, and confident decision-making ability.

More precisely, you will:

  • Manage and coordinate the VP Projects calendar, documentation and logistics to assist him to focus effort on the priorities which are important to achieving the stated business outcomes, maintain key internal and external stakeholder relationships and to ensure timely, effective communication.
  • Responsible for coordination of travel arrangements for the executives and other designated Alcoa leaders, inclusive of visa applications, accommodation, credit card reconciliation and related travel mobility tasks.
  • Responsible for supporting coordinating and facilitating VIP and Executive visits and external interfaces.
  • Coordinate and facilitate lead team meetings by setting the agenda, pre-reading resources, noting discussion and tracking action items including follow up. Is accountable for managing all related lead team documentation as well as distribution of communications to all parties, including overseas and location personnel.
  • Organising key events such as workshops or forums for the teams and broader functions.
  • Provide accurate data/reports/presentations to meet tight and at times, competing deadlines and collation of all information to produce monthly and quarterly reports, presentation material and statistical data to meet Manager's requirements.
  • Understand the strategic direction, plans, objectives and priorities of Alcoa, the current initiatives and broader issues affecting the region, to undertake a range of projects and activities that optimise administrative processes.

WHAT YOU BRING TO THE ROLE:

  • High School or Relevant Certificate Qualifications is essential.
  • Business diploma (desirable)
  • 5 years+ high level Executive Assistant experience in similar role and industry
  • Expert level of business professional written and verbal communication in both French and English
  • Highly developed level of emotional maturity such they are self-confident, resilient, display self-awareness and can recognize when others may need help or support.
  • Demonstrated ability to maintain a positive team environment and through their behaviours helps to build a high trust organization.
