The Opportunity

Situated within UJA's Integrated Development Department, the Marketing Team is a leader in the voice and brand of the entire organization, using creative content, design, multimedia, and experiences to engage community members in UJA's mission.

Reporting to the Marketing Manager, we're seeking a creative, adaptable, and detail-oriented Event & Marketing Coordinator to manage the various facets of event planning and coordination for small and large-scale events. The Event & Marketing Coordinator will also assist with project development and execution, having a hand in the entire marketing production process. The ideal candidate has excellent organizational and communication skills and the ability to multitask, meet deadlines, and adhere to a budget.

Responsibilities include, but are not limited to :

Event Responsibilities

  • Event concept and ideation for both virtual and in-person events, working closely with Project Lead, Marketing Lead, and Creative Marketing Team
  • Event management responsibilities including, but not limited to, event logistics, venue site inspections and selections, vendor sourcing, contract negotiation, obtaining permits when needed, creative design and development for décor elements, onsite event execution, and post-event de-briefs, etc.
  • Talent/speaker and entertainment booking
  • Works closely with the Associate Director of Events, Project Lead, and Marketing Lead to establish event strategy
  • Prepares and manages event workback schedules and budgets
  • Processes invoices and tracks all expenses accordingly
  • Works closely with Marketing Team to develop promotional plan, marketing assets, and event materials
  • Interfacing with donors, volunteers, and event Chairs
  • Management of multiple events at any given time
  • Onsite event management and execution including logistics documents, schedules, registration, set-up, tear-down, etc.

Marketing Responsibilities

  • Ensure all creative project details and deadlines are recorded within project management tool(s) and proactively follow-up with Designers, Writers and Digital team to collect missing details on time
  • Coordinate collateral delivery and approvals with internal and external partners
  • Conduct rigorous follow-up to stay on the critical path, ensuring communication of project status to all key stakeholders on a regular established basis
  • Coordinate and schedule brief-in meetings, brainstorms, and creative presentations
  • Review marketing materials for branding, spelling/grammar, continuity, etc. to ensure standards are being upheld
  • Provide day-to-day administrative support


  • 1-3 years' relevant work experience
  • Post-secondary degree in Marketing, Events, Communications or related field, or equivalent experience
  • Strong interpersonal skills with ability to quickly build rapport with colleagues and stakeholders, donors, lay leadership, community, etc.
  • Proactive with excellent organizational and time management skills
  • Experience in project management and budgeting
  • Strong problem-solving, decision-making and analytical capabilities with excellent attention to detail; strategic thinker
  • Enthusiasm, creativity, innovation and the ability to thrive in a fast-paced environment
  • Excellent written and verbal communication skills
  • Maintain a high degree of discretion and confidentiality
  • Familiarity with a non-profit/fundraising organization considered an asset
  • Driver's license and access to a reliable vehicle (Preferred)

* This is a full-time permanent position, Union Level C. At UJA we support a flexible work schedule and all of our employees engage in hybrid work.
