POSITION OVERVIEW

The Outreach and Events Coordinator is responsible for supporting FORSEC's outreach and event initiatives to promote careers in Nova Scotia's forestry sector. This role involves assisting with career fairs, school presentations, and trade shows, as well as coordinating logistics for industry events, including two major annual conferences and additional stakeholder gatherings. The Outreach and Events Coordinator will collaborate with internal teams, industry partners, and community organizations to support workforce engagement efforts.

KEY RESPONSIBILITIES:

  • Organize and participate in career fairs, school presentations, trade shows, and industry networking events to promote careers in Nova Scotia's forestry sector, engaging diverse audiences through public speaking and interactive presentations.
  • Develop and deliver presentations to students, job seekers, and industry partners, building relationships with schools, employers, training institutions, and community organizations to support workforce development initiatives.
  • Lead planning and execution of two major annual conferences and additional stakeholder events, managing logistics including venue selection, scheduling, registration, vendor coordination, and speaker management.
  • Draft event plans, outreach proposals, budgets, and reports for management approval, ensuring alignment with FORSEC's strategic objectives.
  • Support marketing and promotional efforts for events, including social media coordination, sponsorship engagement emails, and promotional content.
  • Track event participation and engagement metrics, collecting feedback and preparing post-event reports with recommendations for improvement.
  • Monitor event budgets and expenses to ensure cost-effective planning and financial accountability.
  • Identify and resolve logistical or engagement challenges as they arise, ensuring seamless event execution.
  • Proactively research and incorporate industry trends and technology into outreach strategies and event planning.
  • Utilize strong organizational, time management, and prioritization skills to coordinate multiple projects and deliver successful events on schedule.
  • Collaborate with team members and external partners to align outreach efforts with broader organizational initiatives and workforce development strategies.
  • Commit to promoting forestry's role in environmental stewardship, sustainability, and economic growth in Nova Scotia.

QUALIFICATIONS AND EXPERIENCE:

  • A diploma or bachelor's degree in community development, business administration, hospitality, event management, communications, or a related field is required at minimum. Two years of relevant work or volunteer experience in outreach, event coordination, or stakeholder engagement is considered an asset.
  • Proven ability to plan, coordinate, and execute events, meetings, and conferences, managing logistics such as scheduling, venue selection, vendor coordination, and budgeting.
  • Strong verbal and written communication skills with experience delivering presentations, facilitating discussions, and engaging diverse audiences.
  • Ability to build and maintain professional relationships with schools, employers, industry partners, and community organizations to enhance outreach and workforce development efforts.
  • Ability to manage multiple projects, meet deadlines, and adapt to changing priorities while maintaining attention to detail.
  • Ability to identify and resolve logistical or engagement challenges in real-time, ensuring seamless event execution.
  • Experience working within budgets, tracking expenses, and ensuring cost-effective event planning.
  • Proficient with Microsoft Office Suite and other digital tools such as Canva to support event coordination and outreach initiatives.
  • Must be based in Nova Scotia with the ability to travel regularly across the province for outreach events and attend in-office meetings in Truro Heights once per week.
  • Familiarity with Nova Scotia's forestry sector, workforce trends, or rural industries is an asset.
