POSITION SUMMARY

The Philanthropy Team Coordinator is a key member of the Mental Health Foundation, working closely with the Sr Director, Corporate and Community Relations to support the entire Philanthropy team's fundraising efforts and Finance. This role is focused on donor research, analyzing current donor data, and creating extensive donor profiles. Satisfy the information needs of the Philanthropy team by preparing profiles, verifying research data, providing proactive research, and analyzing data on individual, corporate, community foundations and family foundations and uncovering new constituents of interest to the Mental Health Foundation.8The coordinator will support the philanthropy team by tracking solicitation progress, updating action steps, and ensuring smooth execution of fundraising campaigns and initiatives. This position also plays a key role in managing donor data, monitoring giving potential, and ensuring accurate reporting and tracking of donor activities.

The coordinator role will also assist in executing ongoing financial data entry and reconciliation support to ensure accurate and timely data is kept up to date in Quickbooks and Raisers Edge. The ideal candidate will be data-driven and highly organized, with the ability to manage multiple priorities and collaborate effectively with the philanthropy and finance team. Attention to detail, strong communication skills, and a proactive approach to supporting fundraising strategies are essential to success in this role.

DUTIES AND RESPONSIBILITIES

(80% Donor Research and Philanthropy Team Support)

  • Conducts prospect research for corporations, foundations, and individual major gift prospects; analyzes, interprets, and evaluates biographical, business, personal, and financial information for current and prospective donors. Produces clear and concise research reports.
  • Maps relationships between donors and prospects to help identify opportunities and build major gifts pipeline. Analyzes wealth screening data to identify new donor prospects.
  • Using our database Raisers Edge to support the tracking and monitoring of key donor information and relationship management activities including updating actions, opportunity progress, solicitation timelines, and engagement activities.
  • Supporting donor recognition, engagement, and reporting needs.
  • Adherence to the organization's mission, vision, and values.
  • Contributes to the preparation of reports/documents.
  • Outreach and communication with donors and supporters of the Foundation.
  • Provide general administrative assistance as needed.

(20% Finance Team Support)

  • Accurately enter financial transactions, including invoices, receipts, and payment records, into Quickbooks.
  • Assist with processing accounts payable ensuring timely and accurate entries.
  • Accurately enter and maintain donor information and donation records into the Raisers Edge database.
  • Track and update donations, ensuring all records are complete and up to date.
  • Support the reconciliation process for donations and payments, ensuring records match bank statements and other financial documentation.
  • Provide data entry support for month-end closing processes.
  • Assist in the preparation of meeting packages, including financial reports, fundraising updates, and other relevant documentation.
