ABOUT THE ROLE

The Administrative Coordinator plays a key role in supporting the daily administrative operations of programs serving adults with disabilities. This position ensures smooth office functioning, accurate record-keeping, scheduling coordination, and compliance with organizational and regulatory requirements.

The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced environment with multiple priorities. They bring strong communication skills, a collaborative approach, and a commitment to person-centered service.

KEY RESPONSIBILITIES

Administrative Support & Office Coordination

  • Provide day-to-day administrative support to program teams and management.
  • Maintain organized filing systems, program records, and documentation.
  • Prepare correspondence, reports, meeting minutes, and internal communications.
  • Support the coordination of meetings, trainings, and appointments.
  • Assist with ordering supplies, tracking inventory, and coordinating equipment needs.

Scheduling & Payroll Support

  • Assist with staff scheduling, shift changes, and coverage coordination.
  • Track attendance, leaves, and timesheet submissions.
  • Support payroll processing by verifying hours and ensuring accurate documentation.

Data Management & Compliance

  • Maintain accurate documentation in ShareVision and other databases.
  • Assist with preparing reports for licensing, funders, WorkSafeBC, and internal audits.
  • Ensure program files comply with organizational policies and quality assurance standards.
  • Support CARF accreditation and other compliance processes.

Participant & Family Support (Administrative Only)

  • Respond to general inquiries from families, participants, and community partners.
  • Assist with organizing participant files, medical information, and appointment schedules.
  • Support communication flow between staff, families, and other stakeholders.

Finance & Budget Support

  • Assist with invoice processing, petty cash reconciliation, and basic expense tracking.
  • Support managers with collecting receipts, documenting expenditures, and submitting forms.

Communication & Coordination

  • Draft internal memos, newsletters, and program updates as required.
  • Coordinate with external partners, contractors, and service providers.
  • Support community events, workshops, and organizational activities.

QUALIFICATIONS

Education & Experience

  • Diploma or certificate in office administration, business administration, or a related field.
  • Minimum two years of administrative experience, preferably in the non-profit or social services sector.
  • Experience working with people with disabilities is an asset.
  • Equivalent combinations of education and experience may be considered.

Skills & Knowledge

  • Strong organizational and time-management skills with the ability to prioritize.
  • Excellent verbal and written communication abilities.
  • Proficiency with Microsoft Office Suite and database systems (e.g., ShareVision).
  • Knowledge of non-profit operations and confidentiality standards.
  • Accuracy, attention to detail, and ability to manage multiple deadlines.
  • Ability to work independently and as part of a team.

Requirements

  • Valid BC Class 5 Driver's License preferred.
  • Clear Criminal Record Check.
  • Emergency First Aid & CPR (an asset, or willingness to obtain).
  • Medical clearance (TB test or doctor's note of good health).
  • Hepatitis B vaccination (if required).
