Position Overview
The National Apartment Council is seeking a highly organized professional who is a proactive, and adaptable Executive Assistant with Marketing Support (specifically in social media and communication/campaigns). This role involves comprehensive administrative and digital communications support to the Associate Director and senior leadership team. The ideal candidate is someone who thrives in a fast-paced environment, communicates effectively, understands flexibility, and can balance executive-level administrative duties with modern digital communications responsibilities.
Key Responsibilities
Executive & Administrative Support
- Provide daily administrative support to the Associate Director and senior leadership team.
- Manage calendars, schedule meetings, and coordinate appointments across multiple time zones.
- Arrange travel logistics including flights, accommodations, itineraries, and transportation.
- Prepare briefing materials, meeting packages, agendas, and follow-up documentation.
- Assist with board meeting preparation, governance documents, and record management.
- Maintain organized digital filing systems across Microsoft 365 and Google environments.
- Track expenses, process invoices, and support budget-related tasks.
- Handle confidential information with professionalism and discretion.
Communications & Social Media Support
- Draft, schedule, and publish content for NAC's social media platforms, including LinkedIn, X (Twitter), Instagram, Facebook, and other relevant platforms as NAC's digital strategy evolves.
- Support strategic planning for digital engagement and NAC's online brand presence.
- Monitor social media analytics, identify trends, and contribute to content strategy and improvement.
- Assist in developing newsletters, stakeholder updates, digital materials, and organizational announcements.
- Manage digital outreach, including Mailchimp campaigns, Email Blast communications, and SMS text campaigns.
Required Skills & Qualifications
- Strong proficiency in Microsoft 365 (Outlook, Excel, Word, PowerPoint, Teams) and Google Docs.
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Edit and produce short-form video content using simple editing tools such as Kapwing or similar applications.
- Support communications and outreach initiatives led by senior leadership.
- Experience in supporting senior executives, including scheduling, travel coordination, and document preparation.
- Excellent copy writing skills, drafting professional emails, announcements, and social media content.
- Social media fluency, with experience in managing posts, engagement, and analytics.
- Ability to work independently in a remote setting with minimal supervision.
Additional Assets
- Experience in policy, advocacy, housing, real estate, or non-profit sectors.
- Experience as a political staffer on Parliament Hill, or Queen's Park.
- Familiarity with simple design tools, such as Canva, Adobe, or similar.
- Experience in email marketing and campaign tools such as MailChimp or similar.
Working Conditions
Remote-based position with preference for candidates based in Ottawa or the GTA. Occasional travel may be required.
