JOB SUMMARY:

The Administrative and Sales Coordinator supports the daily operations of the 7 Chiefs Sportsplex & Chief Jim Starlight Centre (7CSP-CJSC) by providing administrative, scheduling, customer service, and sales support. This role ensures effective coordination between staff, patrons, and external partners, contributing to a welcoming, well-organized, and efficient environment. The Coordinator plays a key role in facilitating bookings, supporting rental and event sales, processing payments, and maintaining smooth front-office operations.

DUTIES AND RESPONSIBILITIES:

  • Administrative Support- greet visitors at the front desk, respond to inquiries, and direct individuals to the appropriate departments. Answer incoming phone calls, general emails, and public inquiries. Manage the Sportsplex Lost and Found program. Provide general administrative support and perform other duties as assigned.
  • Scheduling and Facility Coordination- download Arena and Fieldhouse bookings from PerfectMind (PM) and organize them in Excel. Update and format booking information. Assign dressing rooms for Arena bookings. Ensure accuracy with PM, noting frequent updates through Catch Corner. Prepare daily booking files for the BrightSign system and upload images for display. Publish finalized schedules to facility screens.
  • Client Services and Sales Support- support the Rental Sales and Event Sales Managers with day-to-day tasks. Book meeting rooms and coordinate setup and takedown requirements. Schedule fitness studios, track access, team rooms, and foyer spaces based on program requests. Respond to rental inquiries and provide preliminary information to clients. Process client payments and follow up on required insurance documents. Assist with merchandise sales, program sales, rentals, and fundraising activities.
  • Financial Processing- process rental payments in accordance with established payment schedules. Process payments and bookings for 7CSP programs, fitness activities, and drop-in services.
  • Health, Safety and Compliance- follow and uphold all 7CSP-CJSC health and safety procedures. Participate in Emergency Action Plan procedures as required. Contribute to risk assessments and corrective actions.

QUALIFICATIONS AND SKILLS:

Desired Education, Knowledge, and Experience:

  • High School Diploma or GED (CAEC),
  • Post-Secondary education in administration or recreation is an asset.
  • Standard CPR and First Aid certification.
  • Proficiency in Microsoft Office and scheduling or booking software.
  • Familiarity with recreation management systems (e.g., PerfectMind, CatchCorner).
  • 1-2 years of experience in administrative, customer service, or related roles.
  • Experience in a municipal or community recreation setting.
