Your contribution:
As an Administration Assistant, you will work in collaboration with our experienced administration team to support the operations of BCL Engineering. This role is ideal for someone who is highly detail-oriented and thrives in a fast-paced, project-focused team environment.
Your main responsibilities:
- Greet and direct clients and visitors on arrival at office;
- Answer and direct phone calls and inquiries;
- Direct and problem solve inquiries from staff;
- Maintaining and updating internal references including staff lists, schedules, and contacts;
- Event booking as well as planning, ordering and/or coordinating catering for meeting meals;
- Monitor and order office supplies;
- Responsible for keeping the reception, kitchen and public areas in good order throughout the day;
- Client communications;
- Aid in the compilation of deliverables, including proposals, reports, specifications and drawings packages;
- Project setup and tracking of milestones; and
- Additional tasks as required on an as-needed basis.
Qualifications:
- Positive demeanor with interest supporting individuals and teams;
- Exceptional verbal and written communication skills;
- Proficient with the use of Microsoft Office program features specifically, Word, Excel, PowerPoint and Outlook;
- Excellent organizational and communication skills;
- Attention to detail and ability to meet deadlines;
- Prior experience supporting internal users or finance/accounting teams is beneficial;
- Ability to work independently and as part of a collaborative team;
- Driver's license required to do local office errands as required;
- Diploma in Office Administration is considered an asset.
