I. Purpose of Position
The Brokerage Business Project Specialist will provide exceptional internal support to a high performing group of Advisors specializing in various asset classes. The support you provide is second to none - not only are you detailed oriented, but you excel at creating industry leading marketing collateral and have a strong sense of ownership for your work. Your ability to research and analyze real estate information allows you to stay two steps ahead and your insights are valued. This position focuses on project management, proposals, presentations, report writing, data analysis, target marketing, transaction administration and/or client-facing activities. You will be a true partner that contributes to the teams’ growth daily.
II. Essential Functions and Job Duties
Proposals and Presentations
- Work with Advisor(s) to create and prepare content for proposals, either Colliers – direct or in response to RFI’s and RFP’s
- Work with Advisor(s) and Sales Assistant(s) on project coordination and execution of proposals and CIM’s etc.
- Assist in the development of listing pitches/presentations (e.g. gather maps, surveys, other applicable research – see below under Market Knowledge for more details)
Market Knowledge
- Prepare surveys (lease and sales comparable, availabilities)
- Liaise with appropriate departments to obtain data, such as company and title searches, and property particulars (e.g. financial, marketing, research)
- Coordinate market reports and conduct basic comparative analyses, when required
- May review leases and title documents; create summaries or abstracts
Marketing Projects
- Responsible for project coordination and execution of marketing collateral (property brochures, email templates, maps, mail pieces, broker events, etc) for listings
- Strategize, initiate and manage overall marketing campaign/plan as it relates to Advisor(s) listing (schedule digital and social media updates and broker events, etc)
- Maintain records of correspondence, complete marketing update reports and client activity reports
- Maintain property listings on various websites
- Update Advisor’ recent transactions on Colliers website and other locations as advised
- Attend listing presentations, if required. Advisor(s) have primary responsibility for this.
- Liaise with Advisor(s) and Sales Assistant(s) regarding listing inquiries and set-up and facilitate tours
- Coordinate and attend Advisor receptions, as required
Administration
- Assist with drafting or editing legal documents (letters of intent, offers, commission agreements, listing agreements, Multiple Listing Service agreements) to be finally approved by Sales Representative
- Assist in management and coordination of transaction and due diligence processes – sign backs, going firm, amendments, subject removals, closing documentation, processing trade records. Entering deal sheets and submitting completed trade record and supporting paperwork to Deal Administration team
- For sales transactions, enters required FINTRAC information in centralized database
Ongoing Governance
- Coordination of information for clients, availability information, required documentation, dealing with on-going or closing issues, critical date management and organizing meetings
- Prepare a variety of reports for clients and/or for internal requirements (e.g. activity reports for clients, management reports, various industry research updates)
- Provide general office support (e.g. file management, filing, scanning, photocopying, organizing marketing efforts)
- In partnership with Advisor(s) share ownership for database management, such as information pertaining to clients, key contacts, and/or prospects (CRM)
- Compliance Expertise (FINTRAC, Anti-Spam Legislation (CASL), Real Estate Board requirements)
III. Required Education, Experience and Skills
- Basic / Minimum Education requirement to perform the job: Bachelor's degree preferred
- Bilingual in French & English
- Relevant Years of experience required to perform the role: 1 to 3 yrs of exp
- CRE experience / background to perform the role: Preferred
Additionally, the successful candidate should possess the following certifications, skills, abilities, and competencies:
- The successful candidate will have at least 1 to 3 years of related experience.
- A post-secondary diploma is preferred. Previous real estate experience is an asset.
- Strong financial analysis skills would be considered an asset.
- Must be detail-oriented; possesses outstanding verbal and written communication skills in both French and English.
- Possesses strong computer skills, including intermediate - advanced knowledge of Microsoft Office products such as Outlook, Word and Excel. InDesign knowledge is considered an asset.
- Experience conducting research through Centris and/or the Internet is required.
- Exceptional administrative skills; demonstrated ability to prioritize and handle multiple tasks in day-to-day work accurately.
- Experience in the Commercial real estate sector or a related industry is an asset.
