Program Assistant, Teacher Employment Membership Support (TEMS)

The opportunity

Reporting to an Administrative Officer, the Program Assistant provides comprehensive administrative support to executive and professional staff in TEMS. Specific duties include the following:

  • As part of a team, act as a first contact to the TEMS program area, answer and screen calls, and ensure accurate details of member requests are entered into the database
  • Maintain voicemail in conjunction with other support staff
  • Maintain ATA standards in the production of TEMS documents and materials and provide advice to TEMS staff regarding ATA style
  • Help senior staff with calendar management
  • Help create, proofread, package and distribute materials for committees, conferences, presentations, meetings, workshops and other TEMS events
  • Maintain inventories of publications and other materials
  • Maintain accurate files and records
  • Collect data and maintain lists and directories
  • Maintain databases related to assignments
  • Help staff develop and maintain procedural and workflow manuals for activities undertaken in TEMS
  • Book meeting rooms, order catering and ensure that rooms are properly set up
  • Help with the general organization of the program area
  • Assist team members with overflow tasks and provide backup coverage, as assigned
  • Undertake special projects and other duties, as assigned

Qualifications

  • Certificate or diploma in administration or a related field
  • Minimum of three years of administrative experience in a professional setting
  • Exceptional interpersonal skills, including sound judgment and the ability to build relationships across all levels of the organization
  • Demonstrated accuracy in keyboarding, proofreading, spelling, punctuation and grammar
  • Excellent verbal and written communication skills
  • Ability to multitask, prioritize work assignments and remain calm while working within tight and often conflicting timelines
  • Ability to adapt to changing priorities and be proactive
  • Experience dealing with difficult and sensitive situations and the ability to maintain confidentiality
  • Demonstrated problem-solving and analytical skills
  • Intermediate abilities in using Microsoft Word, Excel and PowerPoint
  • Experience working with databases and using them to generate reports is an asset
  • Experience working in a member-driven association is an asset
  • Ability to speak and write both French and English is an asset
  • Experience in customer service or client support is an asset
