POSITION PURPOSE
This position exists to support the mission, vision, and values of Lifecentre Church by providing exceptional administrative, financial, and organizational support to the Operations Team and Administrative Pastor. Through accurate administration, effective communication, and dependable operational support, this role helps create an environment where ministry can flourish and people can encounter Jesus, experience community, and grow in their faith.

SPECIFIC QUALIFICATIONS:

- Be proficient using Mac computers and comfortable learning new software platforms.
- Possess strong proficiency with spreadsheets (Microsoft Excel and/or Apple Numbers).
- Experience with bookkeeping, financial administration, accounts payable/receivable, or database administration is considered an asset.
- Have working knowledge of QuickBooks Online or demonstrate the ability to become proficient quickly.
- Provide proactive administrative support to the Lead Administrator, including calendar management, meeting coordination, document preparation, project tracking, and follow-up.
- Demonstrate strong written and verbal communication skills with excellent attention to accuracy and detail.
- Exercise sound judgment, initiative, and discretion when handling confidential information and organizational matters.
PRIMARY RESPONSIBILITIES: As Lifecentre continues to grow across multiple campuses, this role provides administrative and financial support to the Operations Team and Administrative Pastor. Responsibilities include maintaining donor records, supporting accounts payable and receivable, preparing reports, coordinating administrative systems, assisting with projects, and ensuring the accurate execution of day-to-day operational tasks.
Responsibilities are further outlined in Appendix A and may be modified from time to time by Lifecentre's Leadership Team to meet the evolving needs of the ministry.

2. General Administration [ 75% ]
Responsible for ministering to the congregation of Lifecentre through various administrative and financial duties that help organize, manage, report on, and account for ministry operations. Many responsibilities are time-sensitive and require consistent, detail-oriented execution.
3. Administrative Assistance [ 25% ]
Supporting the Administrative Pastor by assisting with a variety of administrative tasks, projects, and operational initiatives that help ensure ministry objectives are achieved efficiently and effectively.

Detailed Responsibilities

1. Model Biblical Priorities
Responsible for upholding Biblical priorities and core values of Lifecentre. The Administrative Assistant should represent a growing personal relationship with Jesus. The Administrative Assistant should model a strong relationship with their spouse (if married) and children (if applicable). They strive to fulfill their purpose in life and ministry while demonstrating integrity in words, relationships, and actions. Includes, but not limited to:
- Committing to a daily quiet-time with God
- Participating in a Lifecentre small group on a regular basis
- Setting appropriate boundaries to protect character and integrity
- Developing personal evangelism opportunities within and outside the church
- Modelling servanthood and generosity through time, talent and treasure
- Adhering to and encompassing the qualities and characteristics required of Lifecentre employees, as defined by the Lifestyle Manual
2. General Administration 75%
Responsible for ministering to the congregation of Lifecentre through various administrative and financial duties that help organize, manage, report on, and account for ministry operations. This includes, but is not limited to:
- Assisting the Administrative Pastor and Team with multi-campus cash data entry and online giving data entry.
- Maintaining donor records and contribution information.
- Assisting with Accounts Receivable and Accounts Payable functions.
- Processing invoices, payments, reimbursements, and financial transactions accurately and confidentially.
- Preparing monthly, quarterly, and annual reports on trends, finances, attendance, and expenses as required.
- Maintaining and utilizing Planning Center Online (PCO) for scheduling, check-ins, workflows, profile management, communication, and reporting.
- Managing and maintaining donor, volunteer, and congregational databases.
- Assisting with budget tracking and expense monitoring.
- Supporting ministry leaders with reporting and administrative requests.
- Preparing correspondence, reports, presentations, and documentation.
- Assisting with general office administration including filing, organization, and record management.
- Attending all staff meetings, campus meetings, and Annual Business Meeting(s).
- Supporting ministry events and special projects as assigned.
- Identifying opportunities to improve administrative systems and processes.
3. Administrative Assistance 25%
Supporting the Administrative Pastor by assisting with a variety of tasks and projects, ensuring deadlines are met and operations run smoothly. This includes, but is not limited to:
- Managing calendar support and reminders for key tasks and deadlines.
- Drafting, compiling, and preparing reports, presentations, and correspondence.
- Creating, implementing, and maintaining administrative procedures and systems.
- Coordinating communication and logistics with staff, vendors, and external contacts.
- Assisting with research, data collection, and project coordination.
- Supporting organizational initiatives and ministry projects.
- Carrying out various weekly tasks as assigned by the Administrative Pastor.
Flexibility of Duties: As Lifecentre continues to grow and evolve, employees may be assigned additional or modified responsibilities that are reasonably related to their position, skills, and organizational needs. Such changes do not alter the fundamental nature of the position and will be communicated as appropriate.

Additional Required Activities
The sample workweek outlined above reflects the employee's regular scheduled office hours. Due to the nature of ministry, employees should expect to participate in additional activities outside their regular schedule as part of their salaried compensation.
These activities may include, but are not limited to:
- Sunday services and ministry responsibilities (where applicable to the position).
- Staff meetings, leadership meetings, and department meetings.
- Annual staff retreats, training, and professional development.
- Annual Business Meetings and congregational meetings.
- Church-wide events, conferences, and ministry initiatives.
- Volunteer appreciation events and leadership gatherings.
- Periodic evening and weekend responsibilities.
- Other duties reasonably related to the position.
The frequency and specific expectations for these activities vary by position and will be outlined in the employee's Employment Agreement and applicable Schedule(s). Employees are expected to fulfill these responsibilities as part of their overall role and compensation.
