Role Description

Brand Ambassador Program

- Recruit, onboard, train, schedule, and direct the work of Brand Ambassadors (street team).

- Provide day-to-day operational supervision and performance guidance to Brand Ambassadors during activations and events.

- Plan and coordinate participation in 375+ experiential engagements annually.

- Manage seasonal staffing plans aligned with summer activation volume.

- Develop training materials and brand messaging guides. - Oversee scheduling, onboarding, and performance expectations for ambassadors.

- Maintain event kits, promotional materials, and inventory.

- Scale program intensity based on seasonal demand (full-time equivalent during peak summer months; reduced intensity in winter).

Budget & Operational Management

- Track event and activation budgets.

- Manage vendor relationships and contracts.

- Maintain equipment and inventory systems.

- Ensure professional, on-brand execution across all activations.

Sponsorship & Partnership Activation

- Execute all deliverables tied to sponsorship agreements across multiple brands (signage, activations, hospitality, digital placements, reporting).

- Track sponsorship benefits to ensure full utilization and on-time fulfillment.

- Coordinate with marketing, communications, and external partners to ensure alignment and brand consistency.

- Maintain a master sponsorship calendar and activation tracker.

- Provide post-activation summaries including reach, engagement, and qualitative impact.

Trade Shows, Conferences & Sales Enablement

- Coordinate logistics for all trade show and conference participation across the sales team.

- Manage booth production, shipping, inventory, staffing coordination, and on-site execution.

- Track deadlines for speaking submissions, sponsorship add-ons, and RFP opportunities.

- Support preparation of conference-related RFP responses and speaking proposals.

- Maintain a centralized calendar of event participation across business units.

- Ensure post-event reporting and lead tracking are completed.

Owned Events & Educational Programming

- Lead planning and execution of organizational events including seminars, workshops, webinars, and client or partner events.

- Manage venue coordination, vendor contracts, run-of-show documents, registration tracking, and on-site logistics.

- Develop standardized event playbooks and checklists.

- Track attendance, engagement metrics, and post-event feedback.

Event Analytics & Engagement Measurement

- Manage on-site digital lead capture initiatives including survey participation and incentive programs.

- Analyze event performance data (foot traffic, dwell time, audience capture, etc.) and generate insights to inform activation strategy and geographic prioritization.

- Develop quarterly and annual performance summaries highlighting reach, engagement, conversion indicators, and ROI.

- Identify optimization opportunities based on engagement trends and behavioral data.

- Coordinate post-event participant email follow-up campaigns with the marketing team.

Qualifications

- Post-secondary education in marketing, event management, communications, or related field.

- 4+ years of experience in event coordination, sponsorship activation, or experiential marketing.

- Experience supporting sales teams in trade shows or conference environments.

- Demonstrated experience coordinating or supervising seasonal, part-time, or volunteer teams.

- Strong project management capability with the ability to manage multiple concurrent deadlines.

- Highly organized with strong documentation and tracking discipline.

- Comfortable working evenings and weekends during peak event seasons.

- Proactive, solutions-oriented, and detail-driven. Ideal Attributes

Work Schedule & Flexibility

This is a salaried professional position that requires flexibility in working hours to support event schedules, activations, and organizational commitments. While the standard work week generally aligns with regular business hours, the role will require periodic evening and weekend work during peak event seasons. The position is expected to manage its schedule to meet operational requirements and deliverables, exercising independent judgment in coordinating activities and prioritizing work across multiple concurrent projects.
