National Payroll Institute - Events Management Department

The National Payroll Institute is excited to welcome a Bilingual Member Engagement & Event Planner to our Events Management team. This role plays a key part in creating exceptional member experiences by delivering impactful events, meaningful volunteer engagement, and unique activations that align with our strategic priorities.

What You'll DoEvent Planning, Management & Execution

  • Support the development and execution of signature event strategies.
  • Lead in-person event planning: vendor negotiation, contract coordination, timelines, checklists, and on-site delivery.
  • Identify innovative opportunities to increase member engagement.
  • Share best practices with Event Coordinators and ensure events run efficiently and effectively.
  • Recommend cost-saving strategies that maintain the quality of the event.
  • Oversee on-site logistics (setup, teardown, volunteers, speakers).
  • Research and recommend creative venues and speakers aligned with organizational goals.
  • Manage event-related sponsorship deliverables and collaborate with the Corporate Development team.
  • Work cross-functionally to align content and timelines.
  • Analyze post-event evaluations and recommend improvements.
  • Plan and deliver in-person professional development sessions across Canada.

Volunteer Engagement

  • Develop annual engagement plans for branches and regional councils.
  • Support volunteers in meeting their annual objectives and assist with recruitment.
  • Attend volunteer meetings and ensure all administration processes are followed.
  • Coordinate volunteer support for events with the Volunteer Coordinator.
  • Act as an Institute ambassador at events and seminars.
  • Ensure all stakeholders are welcomed, supported, and treated consistently.
  • Help ensure volunteers have a positive and meaningful experience.

Consultation & Subject Matter Expertise

  • Contribute to strategic brainstorming and concept development.
  • Provide insights on customer experience and industry best practices.
  • Present findings and recommendations to management.

Financial Responsibilities

  • Track event budgets, monitor invoices, and flag variances.
  • Report financial concerns to the Team Lead as needed.

What You Bring

  • Fluency in English and French.
  • Certified Meeting Planner (CMP) designation (required).
  • Diploma or degree in Event Management, Hospitality, or a related field.
  • 5+ years of experience in event management.
  • Strong coordination skills for both in-person and virtual events.
  • Volunteer management experience is an asset.
  • Knowledge of project management and event processes.
  • Proficiency in MS Office, CRM systems, social media, and online platforms.
  • Strong relationship-building and stakeholder management skills.
  • A proactive mindset and strong sense of urgency.
