POSITION SUMMARY:

The Administrative Assistant - Business Development will provide direct administrative and operational support to the National Manager, Business Development and the Business Development Team in achieving the company's annual revenue and growth targets.

This role plays a key part in coordinating business development activities, maintaining CRM data, supporting proposal and bid submissions, and ensuring consistent communication and documentation practices across the team. The Administrative Assistant will work closely with Marketing and Business Development to help streamline processes and contribute to the success of new business initiatives.

This position reports to the National Manager, Business Development.

RESPONSIBILITIES :

  • Provide administrative and logistical support to the Business Development team the in day-to-day operations

Maintain and update CRM system (Pipedrive) with leads, opportunities, client communications, and project updates

  • Support market research activities - gathering information on clients, competitors, and opportunities

Coordinate meetings, prepare agendas, and record minutes for Business Development and client meetings, as appropriate.

  • Assist with developing and maintaining client contact lists, relationship tracking, and follow-up schedules

Liaise with the Marketing and Communications team to support BD campaigns, events, and branded materials

  • Ensure consistency and accuracy of documents, presentations, and communications prepared for external audiences
  • Organize logistics for conferences, tradeshows, and client networking events. Including the pre and post event preparation and debriefing
  • Provide administrative support for business planning and strategy sessions, including scheduling and document preparation

HEALTH AND SAFETY:

Reads, understands, and follows MECI's Corporate Health and Safety Program, Policy, and Procedures. Ensures that health and safety is considered in the performance of all activities, both on and off the job. Participation in Health & Safety initiatives will be monitored and reviewed as necessary.

QUALIFICATIONS :

Education/Experience Requirements :

  • Post-secondary diploma or degree in Business Administration, Marketing, Communications, or related field

2-4 years of experience providing administrative support, preferably within a Business Development, Sales, or Marketing team

  • Experience supporting proposal development, bid submissions, or client documentation processes

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Experience with CRM platforms (Pipedrive experience an asset) and strong data management skills
  • Excellent written and verbal communication skills, with a high attention to detail and accuracy
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment
