Human Resources Administrative Assistant - Edmonton
Apave Canada is seeking a Full-time, Permanent, Human Resources Administrative Assistant, to join our team immediately and support day-to-day HR operations. This role is key to delivering a seamless employee experience and ensuring compliance throughout the employee lifecycle. Who we are:
Apave Canada has been serving the oil and gas, petroleum and petrochemical, chemical, power generation, pipeline and potash industries since 1953.
Our Canadian operations currently provide services from Edmonton, Calgary, Cold Lake, Fort McMurray, Lloydminster, Nisku, and Red Deer, Regina, Saskatoon and Goderich. Our USA operations provide services from 23 office locations, our United Kingdom operations provide services from 7 office locations, and our Australian operations provide services from 5 locations.

Key Responsibilities
Human Resources Administration and Onboarding.
Onboarding
Coordinate onboarding and offboarding activities
Verify certifications and upload into HR systems
Complete pre-employment checks (references, background, drug/alcohol testing)
Maintain accurate personnel records and respond to HR inquiries
Post job ads on BambooHR and external boards
HR Administration & Program Support
Update employee records in BambooHR and safety systems
Ensure compliance with internal policies and collective agreements
Support HR initiatives and continuous improvement projects
Employee Support & Collaboration
Act as a primary contact for onboarding inquiries
Liaise with Payroll, Safety, Operations, IT, and Quality teams
Assist HR Manager with additional duties as required
Qualifications
1-2 years of administrative or HR experience (or equivalent education)
Experience in construction, oil & gas, or seasonal industries is an asset
Familiarity with unionized and non-unionized environments is an asset
Strong communication, organizational skills, and attention to detail
Proficiency in MS Office (Word, Excel, Outlook, Teams)
Ability to learn new systems (e.g., BambooHR)
Legal entitlement to work in Canada is mandatory.
