Position Overview
The HR Coordinator plays a key role in supporting the delivery of core Human Resources services across the organization, including employee and labour relations, full-cycle recruitment, onboarding, performance management, compensation, benefits administration, compliance, investigations, and data reporting. This role requires a strong balance of administrative precision, service excellence, and analytical capability. With a focus on collaboration and continuous improvement, the HR Coordinator contributes to an employee-centric, high-performance culture that promotes empowerment, engagement, and innovation.
Key Functions & Duties
Responsibilities include, but are not limited to:
- Serve as the first point of contact for internal and external HR inquiries, escalating or redirecting as appropriate.
- Coordinate and deliver new hire onboarding and orientation sessions (in-person and virtual via Teams).
- Support HR initiatives and annual cycles, including engagement surveys, employee recognition, performance reviews, merit processes, and budget planning.
- Maintain accurate and organized employee files and documentation.
- Prepare employee letters (employment verifications, status changes, etc.).
- Enter new hires into BambooHR and assign required training modules.
- Support recruitment activities, including resume screening, phone interviews, and interview scheduling.
- Prepare offer letters and onboarding packages.
- Process Sun Life benefits enrollments, changes, and terminations.
- Coordinate all offboarding activities, ensuring a smooth and compliant process with cross functional stakeholders.
- Produce HR reports and dashboards as required (turnover, headcount, onboarding status, etc.).
- Promote a positive employer brand internally and externally through professional, consistent HR service delivery.
- Manage the general supplies procurement process and coordination for the Commerce Blvd location.
- Support the VP, Human Resources with special projects and enterprise HR initiatives.
- Ad hoc duties as assigned.

Required Education, Experience & Abilities
- Post-secondary education in Human Resources or equivalent related experience.
- 3+ years of experience in an HR Coordinator or similar HR support role.
- Advanced proficiency in Microsoft Excel (VLOOKUP, pivot tables, data validation, formulas) and PowerPoint (slide design, formatting, storytelling).
- Demonstrated experience in data reporting, HR metrics, and analytics.
- Experience working with HRIS systems (BambooHR preferred) and applicant tracking systems.
- Proven understanding of HR best practices, employment legislation, and HR compliance requirements.
- Experience in a unionized environment considered an asset.
- Strong decision-making skills with the ability to handle sensitive matters with discretion.
- Exceptional interpersonal skills with the ability to build effective working relationships across all levels of the organization.
- High degree of self-awareness, professionalism, and accountability.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- This role will require visiting different office sites as needed.
