SolutionFirst Therapy is a growing mental health practice with over 70 therapists providing individual therapy across Canada. We're committed to making quality mental health support accessible and impactful. We're looking for an organized, people-oriented Administrative Coordinator to help keep our operations running smoothly.

The Role

You'll be the first point of contact for many of our clients and a key support for our clinical team. This role is ideal for someone who thrives on keeping things organized, enjoys problem-solving, and communicates with warmth and professionalism.

What You'll Do

Client Communication - Respond promptly to client inquiries via text, phone, and email. You'll help people navigate booking, answer questions, and ensure they feel supported from their first interaction with us.

Billing & Payments - Process client payments through our Jane platform, follow up when payments don't go through, and coordinate direct billing with insurance companies.

Platform Management - Maintain and optimize our Jane system-creating new session types, troubleshooting issues, and ensuring therapists have what they need to focus on their clients.

Client Onboarding - Monitor intake form completion and follow up with clients to ensure documentation is in place before their first session.

General Operations - Handle day-to-day administrative tasks that keep the practice running efficiently.

What We're Looking For

  • Experience in administrative or client-facing roles, ideally in healthcare or mental health settings
  • Familiarity with practice management software (Jane experience is a strong asset)
  • Comfortable with insurance billing and payment processing
  • Excellent written and verbal communication skills
  • Organized, detail-oriented, and able to manage multiple priorities
  • Tech-savvy and quick to learn new systems
  • A genuine interest in supporting mental health care
