Job Overview

We are seeking a highly organised and reliable Administrative Assistant to ensure exceptional customer service for children's soccer programs across Canada. Based in Calgary, this role involves handling inquiries, processing requests, and managing administrative tasks. The ideal candidate is proactive, detail-oriented, and excels at customer service, directly contributing to program success and participant satisfaction.

Key Responsibilities

  • Respond to all parent inquiries in a timely fashion, using clear and courteous communication.
  • Organise and assign all incoming emails.
  • Process refunds, rescheduling, and location changes, ensuring support tickets are responded to within 24 hours.
  • Manage field permits, including filing applications, obtaining signatures, providing insurance documents, and securing city approvals.
  • Draft, send, and track the weekly newsletter; administer satisfaction surveys and personally follow up with any dissatisfied participants.
  • Delegate by assigning clear tasks and providing consistent oversight to a summer student.
  • Provide administrative support to Summer FC staff and coaches.
  • Seek continuous improvement in the efficiency of processes.

Qualifications

  • Strong written and spoken English skills, with a focus on clarity and professionalism.
  • Proven ability to remain calm and solution-focused during challenging customer interactions.
  • Excellent organisational skills, reliability, and quick adaptability; proficiency in CRMs.
  • Comfort and experience using AI tools (e.g., ChatGPT, Gemini, or similar) to assist with drafting, organizing data, or streamlining workflows.
  • Experience in delegation with a commitment to accountability.

Preferred Skills

  • Knowledge of soccer or youth sports programs (coaching experience not required).
  • Familiarity with additional administrative or team management tools.
