EIPS is recruiting a full-time Executive Assistant to join our Human Resources Department at Central Office, reporting to the Associate Superintendent - Human Resources. This is a permanent 12-month position providing year-round operational support.

Job Summary
In this role, you will do much more than manage calendars and oversee department finances-you will be the central connector who keeps our HR service unit running smoothly and efficiently. As the primary point of contact for the department, you will build strong, positive relationships across Elk Island Public Schools, seamlessly handling communication between HR leadership, school staff, and external partners.

Key Responsibilities
As the Executive Assistant, your days will be varied, dynamic, and impactful. You will keep the HR department moving forward by focusing on four core areas:
- The Face & Voice of HR (Communication): You will serve as the primary, welcoming point of contact for the department. Whether handling emails, MS Teams, or phone calls, you'll triage inquiries from EIPS staff, departments, and external partners. You'll also draft, proofread, and format various department communications and legal documents, ensuring a polished and professional tone.
- HR Operations: You will focus on driving continuous improvement within HR operations by optimizing workflows and creating efficiencies. You will act as a liaison with IT, troubleshooting site-specific technologies and implementing emerging tools to streamline service delivery.
- Financial & Budget Oversight: You will support department's finances by contributing to annual budgeting, planning, and audit compliance processes. You will monitor and manage financial transactions including budget allocations, tracking expenditures, and preparing financial reports.
- Office Operations & Records Management: You will keep the office running smoothly by onboarding new staff, managing workflows, and partnering with IT to keep systems up to date. Additionally, you will be the custodian of department files, organization charts, and manuals-ensuring everything is stored or safely disposed of in compliance with privacy laws like ATIA and POPA.
- Culture & Confidentiality: Because HR handles sensitive workforce information, you will maintain strict confidentiality and a high level of integrity in everything you do. You'll actively collaborate with other service units to solve administrative puzzles, step in to help peers when needed, and champion a positive, respectful workplace culture.
Education
Minimum Required
- Certificate or Diploma in office management, business administration, or related equivalency
- High School Diploma with related experience
Preference
- Degree in business or in a related area
Experience
Minimum Required:
- 3-5 years of related experience
- Basic accounting experience
Preferred Experience
- 5+ years executive administration experience
- Experience working within a school division
- 1 year supervisory experience
Knowledge, Skills And Abilities
- Preference for knowledge and experience using EIPS software applications such as PowerSchool, Atrieve, MyBudgetFile, and Rycor.
- Knowledge of records management principles including the Access to Information Act (ATIA) and Protection of Privacy Act (POPA).
- High-Stakes Discretion: Proven experience handling sensitive HR files, complex personnel data, and private workforce matters with absolute confidentiality and professionalism.
- Prioritization Under Pressure: The ability to independently manage a busy executive office, pivot quickly when urgent requests interrupt your day, and keep multiple projects on track simultaneously.
- Collaborative Problem Solving: Strong interpersonal and teamwork skills, with a track record of identifying workflow bottlenecks and suggesting practical, efficient administrative solutions.
- Polished Written & Verbal Communication: Excellence in drafting clear department emails, proofreading high-level reports for accuracy, and professionally routing inquiries from both internal staff and external partners.
- Sharp Eye for Detail: Exceptional accuracy when managing data entry, tracking department budgets, coordinating project timelines, and organizing complex executive calendars.
- Technical Proficiency: Hands-on experience navigating core office platforms (MS Office and Google Suite) alongside specialized administrative tools like PowerSchool, Cascade, and Photoshop.
- Privacy & Compliance Knowledge: A solid understanding of records management and data custody principles, including navigating frameworks like ATIA and POPA.
