On behalf of our client, we're recruiting for an Executive Assistant with a well-established manufacturing organization. The company name will be shared with shortlisted candidates as the process progresses. This is a full-time, in-person role in the Pembina Valley region of Southern Manitoba.

The Executive Assistant (EA) is a trusted strategic partner to the CEO, providing high-level executive support, proactive coordination, and organizational leadership. This role is responsible for enabling the CEO to operate at maximum effectiveness by anticipating needs, prioritizing competing demands, managing key relationships, and ensuring seamless execution across daily operations, strategic initiatives, and external engagements.

The ideal candidate is highly organized with strong interpersonal skills, thrives in a dynamic, fast-paced environment, demonstrates exceptional judgment, and understands the importance of confidentiality, precision, and follow-through. This individual serves as an extension of the CEO, protecting their time, maintaining momentum across priorities, and elevating the efficiency and professionalism of the entire office of the CEO.

Key Responsibilities

Executive Support & Prioritization

  • Serve as the primary point of contact for the CEO, managing all correspondence with discretion and professionalism.
  • Anticipate the CEO's needs and independently take action to address issues before they escalate.
  • Manage, organize, and prioritize the CEO's calendar based on strategic priorities, deadlines, and organizational impact.
  • Screen and triage incoming requests, determining what requires the CEO's direct attention and what can be delegated.
  • Prepare the CEO for all meetings: agendas, briefing materials, key background information, and follow-up actions.

Operational Excellence

  • Oversee the rhythm of the business: weekly leadership meetings, monthly business reviews, quarterly board updates, and annual planning.
  • Maintain tracking systems for critical projects, ensuring follow-through, clarity of ownership, and timely execution.
  • Draft executive communications, presentations, talking points, and reports with a high level of polish and accuracy.
  • Coordinate special projects, cross-functional initiatives, and sensitive assignments with minimal guidance.

Relationship Management

  • Build strong relationships across the organization and with external stakeholders to facilitate effective communication and alignment.
  • Serve as an ambassador for the CEO, ensuring a professional, warm, and consistent representation in all interactions.
  • Support the CEO in managing key relationships with board members, investors, clients, and external partners.

Meeting & Travel Management

  • Plan, coordinate, and manage all travel, including domestic and international, ensuring smooth, efficient itineraries.
  • Support the CEO on the road by providing real-time scheduling, document preparation, and problem-solving.
  • Coordinate logistics for offsite meetings, conferences, leadership retreats, and major events.

Confidentiality & Governance

  • Handle sensitive financial, personnel, and strategic information with absolute confidentiality.
  • Ensure accuracy and version control of executive documents, board materials, and confidential data.
  • Support governance processes, including board meetings, executive team alignment, and document preparation.

Skills, Experience & Attributes

Professional Experience

  • More than 5 years supporting C-suite executives or senior leaders in a high-growth, fast-moving organization.
  • Background in operations, project management, communications, or business administration preferred.
  • Demonstrated experience balancing complex priorities and managing up effectively.
