Position Overview

The Administrative Coordinator plays a critical role in the day-to-day effectiveness of Kensington's investment and operations teams. This individual is a trusted administrative partner who thrives in a fast-paced, professional environment and enjoys supporting senior stakeholders while helping maintain a high-performing office culture.

Reporting to the Director, Operations and Technology, this role acts as a central point of coordination across investment, finance, and operations teams, supporting office operations, administrative workflows, and interdepartmental collaboration. The successful candidate is highly organized, proactive, and capable of managing priorities independently in a dynamic environment.

Key Responsibilities:

Office Management & Coordination

  • Oversee and support day-to-day office operations to create a functional and welcoming environment
  • Support facility management, including coordination of meeting spaces and resources
  • Maintain office supplies inventory and manage vendor relationships
  • Contribute to efficient workplace systems and processes
  • Support internal programs and initiatives as needed

Departmental & Operational Support

  • Provide administrative support across teams to enable operational efficiency
  • Coordinate information flow between departments to ensure seamless collaboration
  • Ensure accurate, organized, and up-to-date documentation, records, and reports to support operational and investment workflows
  • Maintain database systems and digital repositories for efficient information access
  • Process and respond to inquiries in a timely and professional manner
  • Support team-specific functions and specialized administrative processes

Administrative & Financial Processes

  • Process and track expense reports, reimbursements, and financial documentation
  • Support financial administrative processes, including documentation and record-keeping
  • Help coordinate approval processes and documentation workflows
  • Support formatting and standardization of documents and presentations
  • Maintain organizational and documentation standards

Cross-Functional & Executive Support

  • Collaborate on projects across multiple departments to support team initiatives and organizational priorities
  • Provide comprehensive administrative support, including calendar management, meeting coordination, and travel arrangements
  • Prepare and organize materials for meetings, presentations, and leadership reviews
  • Facilitate effective communication between leadership and internal and external stakeholders
  • Provide backup support for other administrative functions as required
  • Handle sensitive, confidential, and time-sensitive information with discretion and sound judgment
  • Execute special projects and other confidential assignments as directed by leadership
  • Adapt to changing priorities while maintaining a high standard of accuracy and professionalism

Qualifications:

  • Undergraduate degree
  • 3-5 years of experience in an administrative, office management, or coordination role
  • Experience in financial services, professional services, legal, consulting, or investment environments
  • Strong organizational, time management, and prioritization skills
  • High attention to detail with the ability to manage multiple priorities
  • Ability to work independently and exercise sound judgment in a fast-paced environment
  • Strong proficiency with Microsoft Office, SharePoint, Adobe Acrobat, and data rooms
  • Proactive, solutions-oriented mindset with the ability to anticipate needs
  • Excellent interpersonal skills, professionalism, and discretion

Salary Range: 50-80k with eligibility for a discretionary bonus and participation in Kensington's benefits programs.
