Founded in 1995 by a group of experienced certification and testing experts, QAI Laboratories Ltd. (QAI) is a multi-national professional certification body, test laboratory, and inspection agency with offices throughout North America and Asia. We provide services to manufacturers of building products, electrical products, vehicles, and other regulated products. Recognition of the QAI name and logo have grown significantly over the past few years resulting in significant expansion of the business.
QAI is currently looking for an experienced administrator, who has experience in managing and coordinating schedules, maintaining records, and supporting other administrative processes to ensure the efficient delivery of services provided by the company.
DUTIES: The successful candidate will perform, but not be limited to, the following duties:
- Plan and coordinate inspection activities, ensuring schedules align with accreditation requirements and qualified personnel are assigned efficiently.
- Maintain and update listing directories and internal records to ensure the data is up to date
- Track inspection timelines and communicate with relevant teams to arrange and adjust schedules, including coordination with external observers when needed.
- Support follow-up actions after inspections, assisting in the resolution of identified issues and preparing official communications as required.
- Review inspection documentation for completeness and consistency, flagging discrepancies or missing information.
- Organize and manage inspection files and records, ensuring proper labeling, secure storage, and easy retrieval.
- Update and maintain internal systems and logs related to certifications, inspections, and client corrective actions.
- Provide inspectors with all necessary resources and documentation to complete inspections successfully.
- Identify and recommend process improvements or tools to enhance the efficiency of inspection coordination and administrative workflows.
- Other duties as assigned by the manager or its designee.
QUALIFICATIONS : The successful candidate will:
- High school diploma or associate degree in the Business Administration or management, or equivalent
- 3+ years of directly related experience
- Possess excellent written and verbal communication skills for coordinating with staff, clients, and external partners.
- Possess superior MS Word and Excel skills, be proficient with Email and Adobe Acrobat.
- Demonstrate strong organizational and time-management skills, with the ability to prioritize multiple tasks effectively.
- Show attention to detail and accuracy in managing records, reports, and documentation.
- Be able to work independently as well as collaboratively within a team environment.
- Have experience coordinating schedules, meetings, or projects in a professional setting.
- Knowledge of inspection, certification, or regulatory processes is a plus but not required.

- Possess good communication and organizational skills.
- Able to multi-task with some degree of accuracy and efficiency.
- Understands the departments or areas which they are assigned and works to improve the processes.
