Position Title: Events Specialist (North)
- Employment Type: Contract position
- Term: Mid-April 2026 to Mid-January 2027
- Part-time, averaging 15-20 hours per week. Workload will fluctuate based on project cycles and event schedules, with increased hours during active delivery periods and lighter weeks in between.
- Compensation: Monthly contract fee based on 15-20 hours per week, calculated using an equivalent hourly rate of $25 to $30 per hour, based on experience and scope of responsibility. Final monthly contract amount will be confirmed based on experience, availability, and project needs. Monthly compensation may scale during peak delivery periods based on increased scope and on-site requirements.
- Reports To: Director of Strategic Events and Engagement, North
- Location: Edmonton-based. This role supports events and projects delivered primarily in Edmonton and surrounding areas. Day-to-day work is remote, with in-person attendance required for site visits, planning meetings, and on-site delivery

Position Description
The Events Specialist supports the planning and delivery of Bird Creatives projects, with a strong focus on on-site execution and event leadership. This role works closely with the Director to ensure projects are delivered professionally, safely, and in alignment with Bird Creatives' standards.
A key function of this role is to take ownership of on-site delivery. This includes leading and coordinating setup and teardown, managing vendors and team members, maintaining timelines during live events, and troubleshooting issues in real time. The Events Specialist will act as a reliable and solutions-focused presence on the ground, ensuring a seamless experience for partners, artists, and attendees.
This role is ideal for someone who thrives in fast-paced, ever-changing environments, takes initiative, and is confident navigating challenges in real time.
On-Site Event Lead and Team Coordination
- This role supports a number of events throughout the year, with peak activity during the summer months, leading into the fall. Candidates should be comfortable with flexible scheduling, including evenings and weekends, based on event needs.
- Serve as a key on-site lead during event delivery, supporting overall execution and flow
- Act as a primary point of contact for vendors, artists, partners, and team members on site
- Lead or support setup, load-in, live delivery, and teardown operations
- Troubleshoot issues in real time and make informed decisions to keep events running smoothly
- Ensure site readiness, safety protocols, and operational standards are upheld
- Represent Bird Creatives professionally with clients, partners, and the public
Production and Operations
- Participate in site planning, walkthroughs, and operational preparation
- Coordinate logistics across vendors, suppliers, and internal team members
- Support implementation of site plans, signage, and guest experience elements
- Assist in managing timelines and run of show execution during live events
- Support emergency preparedness and risk management procedures
Project and Event Management
- Support the planning and execution of multiple concurrent projects
- Maintain project timelines, task lists, and critical paths
- Assist with budgeting, expense tracking, and milestone delivery
- Support development and implementation of project and event strategies
Vendor, Artist, and Partner Management
- Communicate with vendors, suppliers, artists, speakers, and service providers
- Support contracting, advancing, scheduling, and logistics coordination
- Ensure required documentation, contracts, and permits are tracked and filed
- Liaise with partners, sponsors, and stakeholders to support deliverables
Project Coordination and Administration
- Use project management software to track tasks, deadlines, and communications
- Ensure contracts, invoices, receipts, and documentation are properly stored
- Work with accounting and admin teams to support timely payments
- Track project metrics and contribute to post-project reporting
Communications and Content Support
- Gather and organize project assets, including bios, photos, logos, schedules, and run of show details
- Support internal communications and information flow across teams
- Capture informal documentation or content as required for reporting or marketing
General Team Support
- Work collaboratively across Bird Creatives projects and teams
- Adapt to changing priorities and project needs
- Uphold Bird Creatives' values, professionalism, and standards across all work
- Other duties as required to support project success
Qualifications and Skills
- 2 to 3 years of experience managing or supporting events, festivals, or projects
- Demonstrated experience leading or supporting on-site event delivery in fast-paced environments
- Strong organizational and time management skills
- Excellent communication and follow-up abilities
- Ability to remain calm, flexible, and solutions-focused in live delivery environments
- Comfort working with multiple partners and competing deadlines
- Ability to take initiative and make decisions independently
Technical and Practical Requirements
- Reliable high-speed internet connection
- Dependable personal computer suitable for remote work
- Access to a personal vehicle for site visits, pickups, and event support
- Availability to work flexible hours during active delivery periods, including required weekend availability (primarily Saturdays), occasional evening events, and extended on-site event days as needed.
- Comfort using project management and collaboration tools such as ClickUp and Google Workspace
